SharePoint Search Optimization - Help creating query and mapping crawled properties

Hi!

 

I'm working on migrating our old SharePoint site to SharePoint online for my org and we are currently working on search optimization. I'm pretty new to this and don't really know where to start. We are hoping to tag certain documents across all of our communication sites connected to our hub site with two meta data columns: Department (each meta data tag is a department), and File Type (Forms, Policy, Procedure, Image, and Training). I'm trying to add verticals to our search which I have been able to do, but I do not understand how to get these files tagged with these meta data columns to pull up with these verticals with a filter for each department. Also if we create a meta data column with a term set on one site it doesn't carry over across all sites. Is this something we can automate or is there a better way to do this? Is this the best way to optimize our search? Should we be using a choice column and map those individually instead of this meta data column? I've been trying to look for resources but again I'm new to this and any help would be greatly appreciated!
