Prevent Online-Only Files becoming Locally Available
When a users opens a Word file via Windows Explorer (uses OneDrive for Business Client) that file is stored on the local computer system. One way to make sure the file is only kept for a limited amount of time is to configure Storage Sense https://support.microsoft.com/en-us/office/use-onedrive-and-storage-sense-in-windows-10-to-manage-disk-space-de5faa9a-6108-4be1-87a6-d90688d08a48 (Windows only). This can be configured to keep files 1 day, 1 week, ..
Note: it is a local configuration and users may disable it if they have sufficient permissions
Completely reducing the exposure to 0 is not possible using this approach. Another approach is to use 3rd party apps that mimic Windows Explorer (see https://directory.collab365.com/office365-sharepoint/best-document-management-tools-for-sharepoint/ and https://directory.collab365.com/listing/slim-companion-explorer/ (browser-based).
It is possible to complete reduce exposure using AIP. Even if document are stored on local computers and the device is stolen the documents are save. This approach requires special licenses and is complex to implement. Use common sense and procedures if possible.
