Exceptions for Resource Group Calendar?

What is the best way to track vacations and time off for a resource group? Is there a way to place exceptions in the resource group calendar or does this necessitate having individual calendars for these resources? How would it work to have a resource group and then the individuals of that group? Would Project default to the group info or the individual info of the group's members? I have not been able to locate anything on this subject matter and appreciate any advice.

    Yes you can do that but remember, when that one individual is off, the max units for the group is 300%. In that regard, the group "days off" should be handled by the Resource Availability as opposed to using Exceptions. An exception would apply to the whole group, unless perhaps all members of the group have a common time off, like for training or something.

    You may find its easier to work with 4 individual resources than trying to use a group resource, particularly with discretionary days off.

    I suggest you try a couple scenarios doing it each way (i.e. group versus individual) and see if either is a clear winner for what you need.

    Resource groups do not take vacations, individuals in the group do. You could create exceptions in a custom group calendar but what about concurrent or overlapping time off by individual members? If there are no concurrent or overlapping individual time off periods, other than common holidays, a custom group calendar with exceptions is your best option.

    However, if you really want/need to track individual non-working days then your best option is to create individual resources. You can still identify those resources as part of a group (i.e. the Resource Group field) but it won't be a true group resource that assign as a group.

    So what is it you most need to track, individual non-working time, or a generic work group that can be assigned as a group type resource?

    As far as tracking resource time off in a report type of format, I have a couple of macro that do it as an Excel report.

      Hi John,
      I have 4 individuals that are part of a group and I was trying to determine the best way to capture their vacations, days off, sick days, etc. I was leaning towards individual resource calendars but hoping that there was a way to do that within a group instead.

        As I explained, you can do it at a group resource level but only if none of the 4 individual resource exceptions overlap.

        Vacations are resource based whereas "days off" are more likely company/national holidays. So if you separate those, then exceptions (vacations) for a group resource may be feasible (i.e. no overlap). I also notice you mention sick days. Do your resources "plan" sick days? That's a bit unusual.
