Unable to view old emails

Within Windows Outlook Client, there used be a link to click on, "Click here to view more on Microsoft Exchange", that shows up to view older emails. It is now gone, did something change?

    Hello everyone,

Thank you for your patience and for sharing your experiences. I would like to clarify one point about my original response: the instructions I provided were specifically for Classic Outlook for Windows. I should have made that distinction clearer, as the new Outlook for Windows has a different interface and different offline-mail settings. I apologize for any confusion.

Below are the recommended next steps for each situation.

For EriktheRed— Cannot find Account Settings

If you are using the new Outlook for Windows, the settings are accessed differently:

    1. Click the Settings gear in the upper-right corner.
    2. Select Accounts → Email accounts.
    3. Locate your account and open the available account settings.

Please note that the new Outlook does not offer the same classic Cached Exchange Mode settings.

If you are using Classic Outlook, the original path remains File → Account Settings → Account Settings.

To help us confirm which version you are on, please let us know your Outlook version (for example, from Help → About or the title bar). Interface elements alone can sometimes be misleading, so the version number is the most reliable indicator.

For ANNEM200 — Cannot access emails older than 12 months

First, please check whether the older messages are available in Outlook on the web, using your organization's usual Microsoft 365 sign-in page.

    • If the messages are available online: They remain accessible on the server, even if they are not stored locally on your computer. We can then investigate why they are not appearing in your desktop Outlook.
    • If the messages are not available online: Please check other folders and any Online Archive. If the messages still cannot be found, your IT administrator may need to investigate mailbox retention, deletion, or other server-side issues.

If you are using Classic Outlook, you can adjust the Mail to keep offline setting under File → Account Settings → Account Settings → select your account → Change. Increasing this setting downloads more messages to your computer and may take time, depending on mailbox size and connection speed.

In the new Outlook, local offline storage is configured under Settings → General → Offline → Days of email to save, with available options of 7, 30, 90, or 180 days. This controls locally stored messages only; older emails may still be accessible from the server via Outlook on the web.

For vhuang — The "Click here to view more on Microsoft Exchange" link has disappeared

Microsoft has a dedicated troubleshooting article for this specific issue:

    https://learn.microsoft.com/en-us/troubleshoot/outlook/user-interface/click-here-to-view-more-on-microsoft-exchange-hyperlink-is-missing

For your own mailbox in Classic Outlook, please check the following:

    1. On the Send/Receive tab, select Download Preferences → Download Full Items.
    2. Keep the offline synchronization period at the required one-year setting for the initial test.
    3. Check whether the hyperlink appears at the bottom of the affected folder.

Microsoft documents the hyperlink as appearing when full items are downloaded and the offline synchronization setting excludes older messages. Please note that keeping the synchronization period at one year does not guarantee the link will reappear; it is a documented precondition, not a fix in itself. If the link remains missing, further investigation is needed rather than assuming the GPO is the cause.

Regarding the setting reverting to three days when you select All, a policy restriction is one possibility, but it is not yet confirmed. Please avoid repeatedly changing the setting or rebuilding the OST file until the applied policy and Outlook configuration have been checked.

As a workaround, try locating an older message through Outlook on the web. If this is a shared or delegated mailbox, please mention that as well, because the behavior differs from that of your own mailbox.

Thank you again for raising these issues. To help narrow down the cause, please let me know:

    • Your Outlook version (Classic or new Outlook for Windows).
    • Whether older emails are accessible in Outlook on the web.
    • For vhuang , whether the affected folder belongs to your own mailbox or a shared mailbox.

With these details, can focus on the relevant settings and avoid unnecessary changes to your mailbox synchronization.

If you're struggling with accessing older emails, especially if they're archived in formats like .pst or .ost files, you might find it useful to try a tool that can open these files without needing Outlook itself. I came across this tool https://openpst.com/ that allows you to view and manage emails directly from these files. It could be a handy workaround if you're waiting for those sync issues to be resolved.

The "Click here to view more on Microsoft Exchange" link in Outlook is used to access older emails that are not currently synced to your computer. It's possible that the link may not be visible for a few reasons, such as:

    1. Change in sync settings: The link may not be visible if your sync settings have been changed to only display a limited number of emails in your mailbox. You can check your sync settings by going to File > Account Settings > Account Settings > select your email account > Change > More Settings > Advanced. Under the "Cached Exchange Mode Settings" section, make sure that "Use Cached Exchange Mode" is checked and that "Mail to keep offline" is set to a value greater than 12 months (or the desired time frame for the older emails you want to access).
    2. Network connectivity issues: The link may not be visible if there are network connectivity issues preventing your Outlook client from connecting to the Exchange server. Make sure that you have a stable internet connection and that there are no firewall or proxy settings blocking access to the Exchange server.
    3. Exchange Server Configuration: If the Exchange server has been configured to not allow users to access older emails, then the "Click here to view more on Microsoft Exchange" link may not be visible.
    4. Outlook Not Showing Old Emails

If you have checked the above possible issues and the problem still persists, you may need to contact your IT department or Exchange administrator for further assistance.

I hope these suggestions help you resolve your issues with Outlook.

I just read your response to vhuang's question, which says to go to File/Account Settings.  I am using the most current verion of Outlook.  There is no Account Settings under the File menu.  Can you please send detailed instructions on how to access these settings in the current Outlook version?

      Thanks!

Me too and no one has addressed this issue. Non of the suggestions given on any of the sites I've looked at seem to be able to resolve this. I just want to be able to access emails older than 12 months, seems impossible!

NikolinoDE, thanks for your response! I had increased the date to 1 year in the GPO. Emails only goes back to 1 year now when listing emails. I had tried to set it to "All" but it goes back to 3 days for some reason and if I set it to 5 years, it takes a long time to sync all those emails. Any thoughts on how to get back that hyperlink to view older email? (Ie goes back to a year but if you want to view older emails you can click on a hyperlink)
