Set Pictures into a default size
Hi,
I have multiple pictures to be pasted in outlook email (not attachment). Is there a way where I can set a size for all pictures so that once I paste a picture in, it is set to a certain sizing?
Thanks.

Hi JackyGrealish.
I am an independent advisor investigating this inquiry.
Yes. Sort of. You can embed an image in Outlook and use Tables as your sizing guide. However, to prevent distortion or quality loss, the images must be approximately the same dimensions.
The problem is not Outlook. Images will maintain a locked width and height ratio when inserted into an application like Outlook, Word, or PowerPoint. So, the images will resize themselves, resulting in different image sizes. If you are not too fussy about the proportions, the instructions below will at least reduce your images to a comparable compromise.
I tested these instructions in the latest Office 365 application.
- Launch your Outlook Desktop application from your computer (not the cloud version)
- Open a new message
- Insert a table
- I recommend creating a separate table for the portrait and landscape images.
- Resize the cell’s width and height that you desire
- Highlight your table
- From the ribbon, choose Layout
- In the Cell Size group, change the width and height
For example, I used 2.22 x 1.
Table Properties Settings
- Place your cursor anywhere in the table, then select Properties from the ribbon
- The popup window will appear. Click on the Table tab, then Options. Now, you can uncheck Automatically resize to fit the content.
- Insert images in the table cell
- Your image will automatically resize to fit the table cell as close as possible.
The table below compares the original vs adjusted image sizes.
Remember, each table cell was 2.22 x 1
Photo
Original Size width x height
Reduced Size width x height
Photo 1
4.27x 6.4
1.38 x 2.07
Photo 2
17.48 x 20
1.81 x 2.7
Photo 3
41.67 x 41.67
2 x 2
Photo 4
6.4 x 4.8
2.07 x 2.76
- Here is a photo of the table with the adjusted picture sizes.
- Now you can remove the table borders.
- Place cursor in the table, select Table Design > Borders > No Borders
Again, this is not a perfect resolution, but it is better than resizing the original image to the desired size for the same outcomes.
Outlook Online comments
- You can insert a table in Outlook Online and embed images by using the Insert Picture Inline. And the photos are resized, similar to what I described above. Personally, I was not too fond that I was not able to precisely define my table dimensions.
If you find this information helpful, please mark it as the best solution or like it. Much appreciated.
