Best way to automatically bring unfinished 1:1 action items into the next meeting?
The simplest setup is to give each recurring 1:1 one shared action list and keep it linked at the top of every agenda. Unfinished items stay visible until completed, without creating a fresh copy each week.
With Loop, you can set it up like this:
- Create a shared page for each manager–employee pair and give both people access.
- Add a task list at the top with an owner and due date for each action.
- Add dated meeting notes underneath, and put the page link in the recurring meeting invitation.
- Start each meeting by reviewing that same task list. Mark completed items done and update the remaining ones.
This gives you a standing agenda rather than automatically inserting tasks into separate meeting pages. There is no general Microsoft 365 feature that reliably gathers unfinished actions from Loop, OneNote, chats and personal task lists into the next 1:1.
If you need a new agenda generated automatically each time, standardize the actions in Microsoft Lists first. Store the 1:1 identifier, action, owner, due date and status. A scheduled Power Automate flow can then retrieve incomplete items for that 1:1 and send both participants a review summary before the meeting. Creating or updating a particular agenda document needs an additional step supported by that destination.
Keep access restricted to the two participants, and update the original task when it is completed. Copying tasks into a new list every week creates duplicates and makes completion harder to track.
