How to disable a BookWithMe link for a departed user?

Hi folks,  a user has left the company but people are still booking meetings with them using the old link.  All the instructions I find for how to solve this are about deleting a shared booking link, this is a personal booking link.  I am a Global Admin, I have granted my personal account full access to the mailbox, and when I open their calendar in OWA I see the "go to my booking page" option, but visiting that takes me to my account's booking page, with no option to open booking as the departed user.


How can I, as an Administrator, control the BookingsWithMe page of a departed user?

    Hi,

    Unfortunately, deleting or disabling the mailbox deletes the message history, which, especially for Sales people (who are the most likely to use Bookings With Me), is not great.  Converting it to a shared mailbox for archiving doesn't stop the Bookings With Me page, nor does renaming it, and an autoreply only goes out after the person booking it has already booked a meeting and had the calendar meeting invite go out.   It's a very bad experience.  As well, most people stick the "book time with me" link in their email signature, there's no way for me to remove that from messages sent days/weeks/months before their departure.

    My eventual solution was:
    1) convert the Shared Mailbox back to a standard mailbox
    2) re-apply a license that contained Bookings
    3) reset the user's password and MFA device
    4) unblock the user from signing in
    5) sign in to that account myself and configure a device I control for MFA
    6) disable the Bookings With Me page
    7) block sign in, convert to shared mailbox, remove license, etc etc etc.

    It's a giant nuisance that even with Full Access and Send As permissions on a mailbox I can't just do the equivalent of Open Another Mailbox on the Bookings With Me tool.

    Thanks for your help.  I wish there was a better way to get to that page than "reactivate the user, sign in as them" or "delete the mailbox's message history".

  • There isn’t a direct way for an admin to manage or disable someone’s personal Bookings with Me page. These pages are tied to the user’s mailbox, so even as a global admin, you can’t open or edit them directly. The easiest way to stop people from booking with a departed user is to delete or disable their mailbox, once that happens, their booking link will stop working automatically. If you need to keep the mailbox active for a while, you can set up an automatic reply letting people know the person has left and who to contact instead, and make sure to remove their booking link wherever it’s shared.
