Setting up Microsoft 365 for Business for multiple users
Hi, I'm just looking for a little bit of advise.
We are looking to migrate from our current provider over to Microsoft 365 and we currently have around 40 users.
I was looking to see if anyone knew the answers to my queries below:
- Is it possible for different users to be on different plans? i.e office staff on Business Standard and home workers on Business Basic?
- I've seen 'Online Exchange' plans online - is this available in the UK?
- Would all users be able to access an internal SharePoint page, irrespective of which plan they were on?

- Can different users be on different Microsoft 365 plans?
Yes. Microsoft allows you to mix and match licenses in the same tenant. For example, office staff can be on Business Standard (full desktop Office apps, Exchange, Teams, SharePoint) while home workers can be on Business Basic (Exchange, Teams, SharePoint, and web/mobile Office apps only). - Is Exchange Online available in the UK?
Yes. Exchange Online is included in most Microsoft 365 plans such as Business Basic and Business Standard, and it is also available as a standalone subscription (Plan 1 or Plan 2). For most organizations, it is more cost-effective to use Business Basic or Standard rather than only Exchange Online. - Can all users access an internal SharePoint site regardless of plan?
Yes. Any user with a license that includes SharePoint Online (Basic, Standard, or Enterprise) can access the intranet or team sites. Permissions are managed in SharePoint, not restricted by the license tier.
Recommended Licensing Strategy:
- Business Standard for office-based staff or power users who need full desktop Office apps.
- Business Basic for remote workers, light users, or staff who only need email, Teams, and SharePoint access.
- Exchange Online Plan 1 for shared mailboxes or accounts that only require email and calendar.Example Breakdown for 40 Users:
- 25 users on Business Standard (office staff, management, admin, finance).
- 12 users on Business Basic (remote staff, contractors, light users).
- 3 mailboxes on Exchange Online Plan 1 (shared addresses such as support@, info@, HR@).This approach balances cost with functionality, ensures everyone has access to email, Teams, and SharePoint, and gives flexibility to upgrade users if their needs change in the future.
