Lists; What Happens to the "Assigned To" Data?
In Microsoft Lists, there is a column entitled "Assigned To." I can add a member user's name; I don't know if I can enter a guest user's name. I entered my own username to test the result of entering data in this field. Nothing seems to have happened. I received no e-mail; I received no notice in Teams or ToDo or Planner. What is supposed to happen when I add someone's name there? (And could I use it for externals? For obvious reasons, I don't want to just test that.)

Kidd_IpThanks. That confirms my experience with what putting a value in that field would not do, but it's still not clear what it does do. When you write, e.g., "The 'Assigned To' column in Microsoft Lists is primarily a way to associate tasks or items with specific individuals," where/how is that association viewable? How is that link made? It should be possible, if there's some association, to view all list items associated with a particular user.
The "Assigned To" column in Microsoft Lists is primarily a way to associate tasks or items with specific individuals. However, by default, it doesn't trigger notifications or integrate directly with apps like Teams, To Do, or Planner:
- Notifications: Microsoft Lists doesn't automatically send notifications when someone is assigned to a task. To enable notifications, you can set up custom workflows using Power Automate. For example, you could create a flow that sends an email or Teams notification when the "Assigned To" field is updated.
- Guest Users: You can assign tasks to guest users if they have been added to your Microsoft 365 tenant and have appropriate permissions. However, they won't receive notifications unless you set up a custom workflow.
- Integration with Other Apps: The "Assigned To" column doesn't natively sync with Microsoft To Do or Planner. If you want integration, you might need to use Power Automate or other tools to connect these services.
