Distribution group & Add to calendar replies

Looking for some guidance here. 

We have a distribution group setup at our University called Student Events that has the student body added to it. It's used to blast out events to students from other student groups, etc.

 

All works great however when a student clicks on the “add” event to calendar icon at the top of the event email to have the event added to their phone/client calendar, a notification gets sent to the entire students body via the DL letting everyone know that that specific student will be attending the event.

 

Is there anyway around this short of turning off the Auto Add Events feature? I thought of maybe a noreply@domain.com reply-to address but don't see a way of doing this other than on each client. The list is open for all students to use so that isn't an easy option.

  • When you create an event, switch off the Response options. Or just send them as .ICS attachments or similar.

      Hi Vasil,

       

      The problem is no event is being created.

       

      The "Automatic Processing" option in OWA auto-creates an event based upon it reading text in the body of the message. When the recipient accepts OWA's suggestion, it fires back a new event to the list.

       

      For example - I send an email to the list with the following text:

       

      "Free lunch tomorrow in the auditorium at 12:00PM!"

       

      The recipients Outlook sees that text and offers to add it to their calendar. When the user does this it then fires off a new invite back to the list and everyone who is on it which gets really messy.

        RIght. That's the "Suggested Meetings" add-in's doing, you can turn that off at the company level.
