Changing Proofing Language for an Entire Presentation in PowerPoint

Turns out you can't just change the Proofing Language for an entire presentation in PowerPoint. You have to select text boxed one by one in order to change the proofing language. So the question is, is this the only way or there is some workaround to it? Thanks.

    I am an independent advisor and have investigated and tested this inquiry.

     

    You can assign the Set Proofing Language to all text boxes on a page or to all slides at once in PowerPoint Desktop. 

     

    • You must change the view to Outline.
      From the ribbon, Select View | Outline

    From the left Outline navigation pane, complete the appropriate options below

     

    Option 1: Individual Slide: Click on one slide, then press Ctrl + A to select all content on the page.

     

    Option 2: Multiple slides: While holding down the Ctrl key, click on the preferred slides. For example, Slides 1 and 3. This method selects and deselects multiple objects and the content on the page.

     

    Option 3: Entire presentation:  This time, select all slides by pressing Ctrl + A

    • Now, you can set your proofing language.
      From the ribbon, select Review | Language | Set Proofing Language
    • Choose your language

    Hi there,

     

    I was struggling with this as well. Please ensure you have the proofing language downloaded. Otherwise, it won't register as the language you are using with the proofing language.

    Click Language preferences, and then under office authoring languages and proofing, click add a language. To the right of the language name after selecting one, there should be a button that says proofing available. This means that the proofing isn't installed and needs to be. Once it is and office restarts, go to Language, set proofing language, then try again. The ABC icon with a checkmark should appear in front of the language. Then, you are good to go. I hope this helps! Just discovered this on my own.

    And do you know how to change the language of all text boxes of slide masks? "Outline views" is not available in this mode...

    So even if Teresa_Cyrus solution works for existing slides, new created slides are not in the desired language. I agree with Walto365, after more than 20 years, why there is not a clear feature to change the language of an entire Powerpoint document at once?

    I am on the newest version of PPT 365, in a brand new office building, and this thing, changing proofing language for whole presentation, does not work. Yes I have text boxes in the presentation. This has been a problem in PowerPoint for 20 years, it is difficult to understand why Microsoft does not fix it.

      I just tested: indeed, for text boxes it doesn't work for me either. It does for "normal text" in slides, but not when the text is inside of text boxes. I do not understand why it is so hard for Microsoft to improve on that either.

    Hi all, I think I found the following solution: 

    1) Select any type of content on a single slide selected (otherwise the "Set Proofing Language" feature becomes unavailable)

    2) Go to Review --> Language --> Set Proofing Language

    3) Mark the language your are trying to set for the entire document

    4) Click "All Text" at the bottom of the pop-up window

     

    This will take a few seconds (depending on the size of your presentation) but appears to apply the proofing language to "all text" across your entire presentation.

      Hi there. I came across your solution when I was trying to find how to change the proofing language to ALL text in my Powerpoint document. There used to be a check box or dropdown for applying proofing language to ALL text in my Powerpoint document when I went into the Proofing Language tool. You could choose to apply the changes to all text on the active slide, or the whole document. Exactly as you described. For some reason, this is no longer available. How do I activate this feature? It was a simple checkbox and it worked well. But on my new computer I can't find how to activate it. Help!?

        You have to be in Outline view for the Review/Language/Set Proofing Language option to un-grey. I use Powerpoint from Office 365 in Windows 11.

      Indeed setting the review language only works on a 'per-slide' basis.

      Qayray Can you please be more specific about selecting all text using the selection pane and getting the set proofing to be un grayed?

      This solution makes my Powerpoint desktop app (Version 16.93 (25011212)) crash on Mac OSX Sequoia 15.2 (24C101)... 😟
