Adding Outlook to Gmail

For many years, I have been adding my work Outlook emails to my Google Workspace to send email as Outlook from Gmail Web App. 

I prefer to use Gmail, and this is a great solution to stay away from Outlook Apps. 

However, recently I've been unable to add my new work Outlook account to my Google Workspace. 

I go though the steps to add a new account under Gmail settings, and I constantly get the error message "Authentication failed. Please check your username/password...."

I used the following settings: smtp-mail.outlook.com  OR smtp.office365.com

Secured connection on port 587 using TLS

I've used my email password as well as app password that I generated in Outlook.

Nothing has worked. 

 

My admin got on a phone with Outlook customer support, and they said something about "Microsoft doesn't allow sending email as in Gmail anymore" which didn't make any sense, because I can still send email as Outlook on Gmail mobile app. 

 

Does anyone have a solution for this?

    1. Check App Passwords: Ensure that you are using the correct app password for your Outlook account. Sometimes, generating a new app password can help.
    2. Enable Less Secure Apps: If your organization allows it, you might need to enable access for less secure apps in your Outlook account settings. This can sometimes resolve authentication issues.
    3. Update SMTP Settings: Double-check your SMTP settings. For Outlook, the recommended settings are:
      • SMTP Server: smtp.office365.com
      • Port: 587
      • Encryption: TLS
    4. OAuth 2.0 Authentication: Microsoft has been moving towards OAuth 2.0 for authentication, which might be causing issues with traditional username/password methods. Ensure that your Google Workspace is set up to use OAuth 2.0 for authentication with Outlook.
    5. Check Google Workspace Settings: Make sure that IMAP is enabled in your Gmail settings:
      • Go to Gmail settings.
      • Select the "Forwarding and POP/IMAP" tab.
      • Ensure that "Enable IMAP" is selected.
    6. Remove and Re-add Account: Sometimes, removing the account from Gmail and then re-adding it can resolve issues. Make sure to follow the steps carefully and use the correct settings.
