exchange online how to prevent a user to send emails from his acount but only from a shared mailbox
Hi
Can anyone help with the following:
In our exchange online we have every user licensed with o365 Business standard.
Our user’s pcs are joint in Azure AD.
On some users we want to be able to send and receive emails (in outlook) only on a shared mailbox and PREVENT them from sending emails from their own user account (email).
Can anyone help on how outlook accounts can be configured ?
- I suppose you can configure a transport rule to block such messages.

Hi Vasil,
We have tried to set a rule (that emails from personal email account won’t send and give a message to the user), but another problem appeared after about 24hours.
The NEW emails that the user created from the shared email would not leave, they remained in the outbox. In the meantime, if he replied to an existing email the emails were leaving.
We had to delete the rule for emails to work again.

- Victor_IvanidzeBronze ContributorIf you are running Outlook for Windows, google for "SetFrom add-in for Outlook".
It doesn't completely prevent users to send as their own addresses but can set the shared mailbox address as default.
