Pivot table filters

Good morning,

 

I have developed an excel template for budgeting monitoring using a PIVOT table and graphs. I have created a first version using data for a specific project and then clean that version in order to other users to complete with their specific figures.

 

When I have created a clean version (just deleting all my figures and keeping an example) the pivot table changes but if I select the filter on row tabs, the option of my data (that now do not exist) are still available.

 

The pivot cointains "Departments" in Rows, on my version I had department 1-5 (e.g). When I clean it and leave just a sample using departments AAA, BBB and CCC. But the filter on the pivot shows 1, 2, 3, 4, 5, AAA, BBB, and CCC (see attached pic)

 

I have tried different options but I am not able to hide those label with no data from the filter

 

It does not generate any figures in the table even if selected in the filter (because there are no data) but I want to leave a clean version fot the rest of users.

    You need to Right Click - Pivot Table Options - Data - Number of items to retain per field = None
