Hi Patricia,
In addition to scanning verses manual data entry, you may want to look at the possibility of moving this data from excel into a Microsoft SharePoint Custom Lists. Not sure how many people you have managing their own excel files, yet everyone could be entering data into a single sharepoint lists...
Then, you can create views of the lists data that are target to each area of responsibility, utilize group by and sort by functions within the views, and use apps (i.e. Power Automate, Power Apps, Power BI...) to provide additional capabilities/functionality not resident within MS Excel.
This move to a sharepoint custom lists should increase productivity, decrease employee stress, and decrease wasteful processes i.e. duplication of efforts throuhout your business processes to manage asset data.
