What you're describing--not very clearly--doesn't sound like something that a formula, per se, would do; more like a VBA routine, or a macro.
But, as suggested, the description of what you're trying to do is not altogether clear, at least not to this reader. You could also help us help you by attaching an actual copy of the workbook--with fake names in order to protect privacy of the real people--images are generally inadequate to grasp the whole situation.
