You can also format the cells directly using the "Format Cells" option to display the negative amounts in red. Here is how you can do it with formatting cells:
- Select the cells containing the negative amounts that you want to format.
- Right-click on the selected cells and choose "Format Cells" from the context menu.
- In the "Format Cells" dialog box, go to the "Number" tab.
- Select "Number" or "Currency" from the Category list, depending on how you want to display the numbers.
- In the "Negative numbers" section, choose the format you want. To display negative numbers in red, select the "Red (negative number)" option.
- Click "OK" to apply the formatting.
Now, the negative amounts in the selected cells will be displayed in red. When you print the Statement of Account, the negative amounts will be printed in red as well.
This method directly applies the formatting to the cells and does not rely on conditional formatting. The negative numbers will always be displayed in red based on the chosen format.
If you want to use conditional formatting.
Here is how you can do it:
- Open your Excel workbook and go to the worksheet with the Statement of Account.
- Select the cells containing the negative amounts that you want to print in red.
- Go to the "Home" tab on the Excel ribbon.
- In the "Styles" group, click on "Conditional Formatting."
- From the drop-down menu, select "New Rule."
- In the "New Formatting Rule" dialog box, choose "Format only cells that contain."
- In the "Format only cells with" drop-down menu, select "Cell Value."
- In the next drop-down menu, select "less than."
- Enter the value 0 in the field next to "less than."
- Click on the "Format" button.
- In the "Format Cells" dialog box, go to the "Font" tab.
- Choose the color red from the color palette.
- Click "OK" to close the "Format Cells" dialog box.
- Click "OK" again to close the "New Formatting Rule" dialog box.
Now, the negative amounts in the selected cells will be displayed in red. When you print the Statement of Account, the red negative amounts will be printed as well.
Keep in mind that conditional formatting is only applied for display purposes, and it won't change the actual values in the cells. It's a visual aid to highlight certain data based on specific conditions. The text and steps were created with the help of AI.
