Manage multiple plans effortlessly with the new Portfolios feature in Microsoft Planner

Learn about Portfolios, a new feature designed to help users track and manage multiple plans in Planner.

Managing multiple plans across different projects can often become overwhelming for team leads, project managers, or any user handling various deliverables. To simplify the process, we’ve designed a new feature—Portfolios—to help users easily track and manage multiple plans in the Planner app in Microsoft Teams.

Portfolios can help simplify complex plan oversight by giving you a consolidated view of all your premium plans and tasks, ensuring nothing slips through the cracks. Once rolled out to your organization, users with a Planner and Project Plan 3 or Planner and Project Plan 5 license will be able to create portfolios to group and manage related plans, track progress at a high level, and visually organize tasks using the Roadmap view.

Whether coordinating between various teams or looking for a top-down perspective of multiple plans, the Portfolios feature in the Planner app in Teams makes it all possible in one location—streamlining workflows and improving collaboration

How it works

To get started with Portfolios in Planner once it’s rolled out to your organization, follow the steps below: 

  1. Navigate to or launch the Planner app in Teams.
  2. If you have a Planner and Project Plan 3 or Planner and Project Plan 5 license, you’ll see the new My Portfolios tab in the left navigation directly below My Day, My Tasks, and My Plans. Select the My Portfolios tab to get started with your first portfolio. Then, select the + New Portfolio button.
    • Alternatively, you can select the down arrow directly to the right of the + New plan button at the bottom of the left navigation, then select Portfolio.

3. Add a name for the new portfolio (required), then add it to a group (optional) by selecting the appropriate group from the drop-down. Then, select the Create button.

Scenarios to try

Below are just a few powerful ways to leverage the new Portfolios feature in Planner.

  1. Consolidate multiple plans into a single portfolio: Simplify the process of tracking deliverables and deadlines by creating a portfolio for your ongoing plans.
    • After selecting the Create button, you will see the following message, “There are no plans in your portfolio yet.” Select the + Add Plan button to access a list of all the premium plans you are a member of, including plans you’ve created, as well as those you’ve been added to.

    • Select and connect the plan you want to add to the new portfolio as instructed in the Add Plan pane to the right. Properties that are extracted from the plan and displayed in the Plans view include Project Manager, Progress (% complete), Start Date, and Finish Date.
       
    • The Status field is a drop-down list which enables you to manually select the status of the planNot started, On track, At risk, Off track, or Closedso you can easily identify how the plan is progressing.

2. View your portfolio of plans and their associated tasks as a visual timeline: As soon as you add a plan to the portfolio, a row gets created for that plan on the Roadmap view. In the Roadmap view, you can easily add tasks from the included plans and track them together visually in a timeline view. 

    • To add tasks to the timeline, simply select the corresponding plan in the Roadmap view. 
    • Upon selection, you will see a Details pane open to the right of Teams with a list of tasks tied to the plan. From here, select the task (or tasks) you want to add to the Roadmap view, then select Add items.

    • The selected tasks are displayed as a visual timeline for that plan.

3. Collaborate with your team members: Portfolios in Planner uses the Microsoft 365 group construct to invite users to collaborate on the portfolio. 

    • Select the Share button in the top right corner of the portfolio to open the Invite members dialog box.

    • From here, you can create a new Microsoft 365 group by entering each members name in the designated text box, then selecting the Create group button. Or, you can add the portfolio to an existing Microsoft 365 group by selecting Add to existing group, then selecting the appropriate group from the drop-down and selecting the Add button. 

Please note, adding a member to the portfolio does not give the user access to the plan(s) included in the portfolio, but rather enables them to see the portfolio-level aggregations.

Availability of Portfolios in Planner 

The new Portfolios feature is currently rolling out in the Planner app in Teams. Once rolled out to your organization, users with a Planner and Project Plan 3 or Planner and Project Plan 5 license will see the new My Portfolios tab in the left navigation.

Users with Planner in Microsoft 365 or a Planner Plan 1 license can view portfolios shared with them in read-only mode. Portfolios will start rolling out in the new Planner for the web in the coming weeks.

  • When will you unify Planner and Project backends? Planner task card has many useful things integrated, as cheklist, description, attachements, whereas Projekt cards are different, lack useful info and chat happens in Teams, whereas with the Planner, it happens on the task card itself.

      Yes this!  Now that Portfolios is released, but only supports premium plans, we are forced to convert our plans to Premium ones if we want to use My Portfolios.  As Petr says, I much prefer the layout & features of Basic plans, over the Premium ones...  Meet_Sanghvi

    This new portfolio feature sure has potential, but can you please:

    1. Add syncing with Azure DevOps project (same as in Roadmap)
    2. Standardize the status colors, labels and capitalization between the Portfolio/Plans view

    Do you know when we'll be able to add "Basic" plans to the Portfolio view?  I manage M365 Updates via the Planner connector, but I can't add my "message center" plan to my portfolio, which is quite frustrating.

      arinkomins , We have received feedback for adding support for basic plans for Portfolios and have added the same to our backlog. We’ll continue to look for opportunities to include basic plan support in future product releases.

    Are you able to confirm if there are plans to make the 'Portfolio' features better in the future? Such as calculating an automatic status based on how each 'plan' tracking against the baselines set by each project, or potentially even adding in the ability to have cross-project dependencies? 

    I think like most people coming from Project desktop/Online, I'm a little weary of the large gap between Planner and Project, particularly with the fact that there has been a push from Microsoft to start transitioning to Planner(P4W),and at least for me sentences like 'There is no date to limit the functionality of Project Online at this time, but we encourage customers to plan their transition as soon as possible.' make me worry, especially with such a large gap in functionality.

        I agree with PewPewProject

        This is just an exact copy of what was released in 2019 under Project for the web, Roadmap. That time it was an MVP, at most, and now you've just copied the functionality into the new planner. No improvements, no additional functionality. The direction is good and bringing it all together is great, but the pace of progress .... 🤕

    This is all satisfactory progress, but why Planner for Teams and the Web don't receive the updates at the same time is a sign that the data backend services are not on the same Data Platforms? Get your systems in Sync, as not everybody wants to use this in Teams. Otherwise there are other great PM tool with much more functionality than Planner in it MVP state.

    Related to the questions about the underlying data model - where can we find and map fields in planner, planner premium to the underlying data model and where it may sit? This is a fundamental question when dealing with data sovereignty questions for those of us working in multi-national orgs.

    As an avid user of planner, with multiple projects on the go, I am in desperate need of this Portfolios feature.  I saw that it was originally planned for rollout throughout November 2024, but we're in December now and I still don't have this enabled (I have project & planner 5 licence).  Any idea when this feature will be rolled out to more of us?  Thanks!

        In addition, I really need the schedule view across multiple plans (including the possibility to connect 'assigned to me' to outlook. Crucial feature in my day to day planning.. please bring it back ;)

    I LOVE this news, great work!
    I just got started trying it out but it seems I cannot see and add all my Planners into a portfolio. Many are missing and don't show up if I search for them after pressing add.
    Should I expect that behavior or not? The planners I'm missing I am the owner of.

      Heya, I am having the same problem.  I believe it's because "Basic" plans don't seem to work with My Portfolios :(   I noticed that any "Premium" plans made, are recognized by the portfolios, but not "Basic" ones.   This is a big problem for me, because I actually prefer the layout & customization options of Basic plans much more than the premium ones.  Features such as being able to display notes or checklists, on the front of each card, isn't available on Premium plans. 

      I'd really like to know if there's a way to allow Basic plans to be added to my Portfolio, or if there are plans to add the features you get in Basic plans, onto Premium ones.  You can convert Basic plans into Premium plans, and then My Portfolio recognizes them - but I don't wish to do this, as the layout of premium plans doesn't work well for me.  :(  Meet_Sanghvi  can you help us?

        Elin , ThomasBastock , Thank you for your feedback. Currently you can only add premium plans to a Portfolio but have received requests for adding basic plans to portfolios as well. We have added the same to our backlog and will continue to look for opportunities to include basic plan support for Portfolios in future product releases.

    Thanks for the detailed overview Meet_Sanghvi . I have setup the Project / Planner P3 License, and still after a few days, when I select 'My Portfolios' through the Planner App in Teams, I see this error "Looks like you don't have the latest portfolios solution installed. Contact your admin to fix this".

    However, even an internet search provides no results to this problem. Is there a suggested solution to get Portfolios working?

      I had the same issue. When logging in to Planner via the web interface, I didn't have the "My Portfolios" option in the left menu. My conclusion (supported by conversations with MS support) is that we don't have the Portfolio function rolled out to our tenant yet, despite being able to see the option in the Teams interface.
