Your path to value with Copilot for Microsoft 365

Today, we are releasing updated guidance for Copilot for Microsoft 365 deployment and adoption to speed your time to value. We’re excited to announce the new Copilot Success Kit, which integrates many new and existing resources and is based on our engagement with customers around the world. It covers the three core elements of AI enablement – the leadership journey, user enablement and technical readiness – with real world guidance and tools to support your implementation. We’ve also updated the Copilot Lab and Copilot Adoption site experiences to help our customers at every stage of their AI journey. Let’s take a closer look at the new updates we’re sharing with you today:

Introducing the Copilot Success Kit 

The Copilot Success Kit includes guides and resources to enable organizations to get started with Copilot for Microsoft 365 quickly. Download the full kit or just the resources you need based on your phase of implementation. Today’s launch of the Copilot Success Kit includes some well-known assets, as well as brand new resources: 

In the coming months, we’ll continue to augment the Copilot Success Kit with prioritized resources for Works Council engagement, guidance for creating an AI Council, and a full implementation plan template.

Discovering Copilot for daily work

Now you can discover top use cases and day-in-the-life scenarios for using Copilot in departments across your organization. The Copilot Scenario Library lets people view scenarios by role (e.g. HR Recruiter, Operations Analyst, Brand Manager, Financial Advisor) or by use case (e.g. respond to an RFP, improve hiring processes) to discover quick ways they can get started using Copilot in their daily work. In addition, business leaders can review key performance indicators that can be impacted by Copilot innovation. There are two ways to explore these scenarios. You can choose a business or end user view and download your customized Scenario Library deck or explore the Scenario Library in a web experience. We’ll continue to add new scenarios and industry content to help you drive deeper engagement with Copilot.

Accelerating Copilot value from the top down 

When it comes to driving value with new technologies, business leaders often lead the way. We’ve created the Copilot for Microsoft 365 Adoption Playbook for business leaders to learn actionable steps to become an AI-powered organization quickly. Informed by insights from our Copilot for Microsoft 365 Early Access Program, this step-by-step playbook can help leaders understand how to assign seats, choose Copilot Champions, how to get employees up and running, build early momentum, and measure impact. 

 

Getting step-by-step guidance for implementing Copilot 

Our updated implementation framework for Copilot and Microsoft 365 services is segmented into four phases and covers the critical user enablement and technical readiness workstreams, which go hand in hand to deliver rapid AI value across your organization.

User Enablement journey 

“Change management” and “adoption” nomenclature have evolved to user enablement, which refers to the strategies, activities and skills required to deliver user satisfaction along a progressive skilling and engagement journey. The Copilot for Microsoft 365 user enablement guide provides step-by-step guidance to support user enablement leaders through: 

  • Selecting initial departments, scenarios, and success measures for rollout with the Scenario Library
  • Targeting a critical mass of users for rapid impact 
  • Laying the foundation for an intelligent progression of AI skills 
  • Reviewing success metrics and understanding impact 
  • Expanding to new scenarios to transform and streamline business processes 

The guide also helps you understand how to use tools like Copilot Lab, Microsoft Learn, Viva Learning, Learning Pathways and more to empower everyone across the organization to use Copilot in their jobs.  

 

Technical Readiness journey 

The Copilot for Microsoft 365 technical readiness guide provides step-by-step guidance to help Microsoft 365 admins implement Copilot for Microsoft 365. We introduce the steps to prepare your organization for Copilot with a Baseline, Core, and Best-in-class security and governance posture. The guide walks Microsoft 365 admins through: 

  • Performing the Copilot for Microsoft 365 Optimization Assessment and building an implementation plan 
  • Preparing with a Baseline, Core and Best-in-class security and governance posture 
  • Onboarding users by assigning licenses and permissions 
  • Measuring impact by monitoring usage reports and establishing a service management plan 
  • Extending and optimizing Copilot by designing, building, and publishing custom copilot experiences 

The technical readiness guide provides steps for customers to get started quickly while optimizing data security along the way. Additionally, for customers who are particularly concerned about unintentional oversharing of content, they can maintain their Copilot momentum by leveraging Restricted SharePoint Search while they implement Microsoft Purview and SharePoint Advanced Management.

Supporting everyone's AI learning journey with Copilot Lab  

We built Copilot Lab to help organizations with Copilot onboarding and enablement, and get people started with the art of prompting. Now, we’re transforming the prompt library into a comprehensive learning resource that can help everyone begin their Copilot journey with confidence. We’ve consolidated our best resources, training videos, ready-made prompts, and inspiration to make Copilot Lab the single resource to help people use Copilot in their daily work. 

Each suggested prompt in the prompt library includes additional information about how to personalize it and ways to extend the prompt for even more value. You can access Copilot Lab today at copilot.cloud.microsoft/prompts or directly in app by selecting the notebook icon next to the Copilot prompt window.  

 

Creating a clear path to rapid Copilot value 

To accelerate our customers’ success with Copilot for Microsoft 365, we have rearchitected the Copilot Adoption Hub to reflect the four implementation pillars: get ready, onboard and engage, deliver impact, and extend and optimize. Microsoft is rolling out a new sign in experience for over 1 billion end users. What we learn can help to improve sign-in for all Microsoft customers.

Today, I’m excited to share that we’re making authentication more modern, simple, and secure for over a billion Microsoft accounts. People around the world use Microsoft accounts to sign in to Windows, Xbox, Microsoft 365, and more. By the end of April, most Microsoft account users will see updated sign in and sign-up user experience (UX) flows for web and mobile apps built using Microsoft’s Fluent 2 design language.  

\n

Improving the consumer user experience for Microsoft accounts 

\n

Over the past few years, we’ve modernized the end user experiences for cloud-connected experiences in Windows, Xbox, M365 and more. And, as new authentication methods, like passkeys, became available, we decided to redesign the sign in user experience as well. The new experience takes advantage of Microsoft's “Fluent 2” design language to help users seamlessly transition between authentication and product experiences. We also made a few changes in the flow to reduce user error and boost account recoverability.

Upgrading to a streamlined, modern design 

\n

Simplifying the design and flow of authentication was our first step. We’ve reduced the number of concepts per screen to lower cognitive load and speed up the authentication process, plus re-ordered some steps to logically flow better. 

\n

Additionally, the centered design of the new experience reduces distraction and keeps things focused. Responsive design allows us to scale the UX to look great on any form factor, from large desktop monitors to mobile devices.

We also made changes based on direct customer feedback. One of the most highly requested features was to support theming. With our new sign in UX, most sign in screens will support both a Light Theme and Dark Theme, which are enabled automatically based on a user’s preference. The first place to see this will be on Gaming apps. Other consumer apps will support Dark Mode in the future.

Creating an “unmistakably Microsoftlook and feel 

\n

We’re taking a step back from product-centric designs of the past and stepping into the Microsoft-forward design language offered by Fluent 2. Within product experiences, sign in screens will support consistent product brand colors in buttons and links, but the Microsoft logo is front and center. In addition, we’ve introduced a distinctly Microsoft background image that doesn’t change from product to product. This Microsoft-centric design provides a visual throughline across all the places you sign in with your Microsoft account.

\n

Emphasis on passwordless 

\n

Streamlining the authentication UX design allowed us to rethink the default experiences for sign in, putting even greater emphasis on usability and security. Over the last few years, we’ve introduced several enhancements, including the ability to completely remove the password from your account and support for passkey sign in instead of using a password. Our new UX is optimized for a passwordless and passkey-first experience.

Here’s an example of how we're making Microsoft accounts more secure from the very first interaction. The first thing users do when signing up for a new Microsoft account is enter their email address—the one they already have and use on a regular basis. Unless they are signing up in Microsoft Outlook with the intent of creating a new email address, they probably already have one that they can use for their Microsoft account.

\n

Why is this important? By bringing your own email address to a new Microsoft account, you start in a recoverable state, and you don’t have to create a new Microsoft password that could be easily forgotten or guessed by an attacker. All you need to do is verify the email with a one-time code, and this becomes the default credential for your new account, so you start off passwordless. Not only that, but you now have an email address attached to your account if you ever need to recover your account or get started on a new device.

After you’re signed in, you’ll be invited to add a passkey. If you don’t add it during sign in, you can always add one later from your Microsoft account settings. We’re also updating the Microsoft account sign in logic, so your passkey is the default sign in choice whenever possible, because passkeys are more secure and three times faster than passwords.

Global rollout of new experience is happening now 

\n

Xbox fans are already enjoying the new Fluent design when they sign in! We launched the new design to gaming web and mobile properties in February via A/B experimentation. This targeted experiment let us gather data on our redesign, especially testing the new Dark Theme support, where we saw positive impact of the new UX with this wide set of Microsoft account users.  

\n

Updates to the full set of Microsoft consumer experiences are happening in waves throughout March and April 2025. We prioritized redesigning and improving the most common and highly used screens, used in roughly 95% of sign in sessions. This Microsoft account authentication redesign has no impact currently on Microsoft Entra accounts, also known as work or school accounts, so Microsoft Entra customers don’t need to do anything related to this UX rollout for consumers.

Today, I’m excited to share that we’re making authentication more modern, simple, and secure for over a billion Microsoft accounts. People around the world use Microsoft accounts to sign in to Windows, Xbox, Microsoft 365, and more. By the end of April, most Microsoft account users will see updated sign in and sign-up user experience (UX) flows for web and mobile apps built using Microsoft’s Fluent 2 design language.

Improving the consumer user experience for Microsoft accounts 

\n

Over the past few years, we’ve modernized the end user experiences for cloud-connected experiences in Windows, Xbox, M365 and more. And, as new authentication methods, like passkeys, became available, we decided to redesign the sign in user experience as well. The new experience takes advantage of Microsoft's “Fluent 2” design language to help users seamlessly transition between authentication and product experiences. We also made a few changes in the flow to reduce user error and boost account recoverability.

Upgrading to a streamlined, modern design 

\n

Simplifying the design and flow of authentication was our first step. We’ve reduced the number of concepts per screen to lower cognitive load and speed up the authentication process, plus re-ordered some steps to logically flow better. 

\n

Additionally, the centered design of the new experience reduces distraction and keeps things focused. Responsive design allows us to scale the UX to look great on any form factor, from large desktop monitors to mobile devices.

We also made changes based on direct customer feedback. One of the most highly requested features was to support theming. With our new sign in UX, most sign in screens will support both a Light Theme and Dark Theme, which are enabled automatically based on a user’s preference. The first place to see this will be on Gaming apps. Other consumer apps will support Dark Mode in the future.

Creating an “unmistakably Microsoftlook and feel 

\n

We’re taking a step back from product-centric designs of the past and stepping into the Microsoft-forward design language offered by Fluent 2. Within product experiences, sign in screens will support consistent product brand colors in buttons and links, but the Microsoft logo is front and center. In addition, we’ve introduced a distinctly Microsoft background image that doesn’t change from product to product. This Microsoft-centric design provides a visual throughline across all the places you sign in with your Microsoft account.

\n

Emphasis on passwordless 

\n

Streamlining the authentication UX design allowed us to rethink the default experiences for sign in, putting even greater emphasis on usability and security. Over the last few years, we’ve introduced several enhancements, including the ability to completely remove the password from your account and support for passkey sign in instead of using a password. Our new UX is optimized for a passwordless and passkey-first experience.

Here’s an example of how we're making Microsoft accounts more secure from the very first interaction. The first thing users do when signing up for a new Microsoft account is enter their email address—the one they already have and use on a regular basis. Unless they are signing up in Microsoft Outlook with the intent of creating a new email address, they probably already have one that they can use for their Microsoft account.

\n

Why is this important? By bringing your own email address to a new Microsoft account, you start in a recoverable state, and you don’t have to create a new Microsoft password that could be easily forgotten or guessed by an attacker. All you need to do is verify the email with a one-time code, and this becomes the default credential for your new account, so you start off passwordless. Not only that, but you now have an email address attached to your account if you ever need to recover your account or get started on a new device.

After you’re signed in, you’ll be invited to add a passkey. If you don’t add it during sign in, you can always add one later from your Microsoft account settings. We’re also updating the Microsoft account sign in logic, so your passkey is the default sign in choice whenever possible, because passkeys are more secure and three times faster than passwords.

Global rollout of new experience is happening now 

\n

Xbox fans are already enjoying the new Fluent design when they sign in! We launched the new design to gaming web and mobile properties in February via A/B experimentation. This targeted experiment let us gather data on our redesign, especially testing the new Dark Theme support, where we saw positive impact of the new UX with this wide set of Microsoft account users.  

\n

Updates to the full set of Microsoft consumer experiences are happening in waves throughout March and April 2025. We prioritized redesigning and improving the most common and highly used screens, used in roughly 95% of sign in sessions. Therefore, web and mobile apps will show the new UX first, and support for apps on Windows will follow.  Because the changes are being deployed in waves across multiple weeks, if you look today, you might still see screens with our original design language.

It turns out the deadline wasn't June or ajuly 2025, but May. Since May 1st, you can no longer create a secure Microsoft account that is accessible by password without jumping through a lot of unnecessary hoops. All they had to do was nothing, but instead Microsoft decided to ruin their entire ecosystem by destroying the login process.0

We encourage everyone to protect all of their online accounts with multiple authentication methods including a verified email that you control. Our current Sign In design avoids creating additional email accounts and passwords unnecessarily.

When I go to Microsoft account, the only option you get is to create an account with an existing email address. I had to Google to find out how to get a Microsoft email address. Why is there no link to live.com or outlook.com on the Microsoft.com new account page?

As for the \"benefits of passwordless authentication, those are unfortunately limited to the developers who can't be bothered to include password support in their authentication flow. The benefits for users are non-existent.

 

I urge you to stop promoting passkeys and start taking security seriously. Passkeys will not have the effect you hope, especially when 1) you don't tell people how to back them up and 2) how to have alternative options in place and 3) remove password support from the Microsoft authenticator. Those passwords are not only crucial, they are the only thing that will get users in when their biometrics inevitably fail to be recognized.

STUPID..it is nonsense...if i remember already my password why does it not enter to my account...not all devices has fingerprints...and your goddamned app doesn't sends the number to the mobile app..so you have to use another type of sign in...and if you choose your backup email, it makes you restore your password...I DON'T WANT TO CHANGE MY PASSWORD, i don't have problems at remember it..why you make the effor to make everything more difficult?

same as the onedrive, before the things that somebody shares with you per email you could add it to the onedrive local files and work in your same computer, now it opens only on the **bleep**ing browser, then why it is SHARE WORK if it won't work as a share work cloud?

Robin.  All the hype is confusing.  Will we able to continue with our passwords?  Linux does not currently support all the extras.  And current passkey technology is proprietary, specific to an individual device and not durable across changes to device state.  Historical Microsoft customers included individual professional users who were not the property of large employers and institutions that have Microsoft Entra accounts.  I'm sure the wise elders at Microsoft have already taken this into account.  It would be useful to know what Microsoft's plans are for non proprietary customers going forward.

no, it doesn't work. i remember all the passwords and i got this problem. it is really annoying. 

 

because what happens, first i want to access to my local files that has been shared by a different account that i used for ONEDRIVE, but I CANNOT because nowadys, onedrive does not support local files and it redirects you to EXPLORER (EDGE OR CHROME) like this:

then when i want to enter on the explorer, it asks me for password, i enter password and i get this result:

 

then i go back, and tell another way of access (the only one that i suposse to have is to send me a code to the same email of the address that is linked to onedrive).

then i want to access to the email and it is the same result. the same. you can't access because it asks you to send a code to the email of backup of that account. HORRIBLE.

or you just don't receive the email. it is stupid. i cannot access due to these problems.

Great, I already used the passwordless version on Outlook.com and Windows Hello on Windows 11, now that I'm going to adopt generally I had to have this move to the market move as well. I was an AD Administrator after Azure AD and still a student of Entra ID. Congratulations

This is getting ridiculous.

 

I have to jump through multiple hoops to sign in. It's easy to make passkeys faster if you throw down roadblocks for people who want to log in with their password by hiding the option somewhere at the bottom  of a submenu instead of making it the default option as it should be. 

 

Robin Goldstein: Why are you so keen on destroying users' ability to get into their own account securely? Why are you working to delete user data without permission by the end of the month? Why are you claiming a device PIN is more secure than a long and random password? And why are you trying to force users to put their biometric data at risk? 

Are you really that keen to overrun tge support team and lose a billion users in a months time?

The user research referenced in the post is based on observing users who must use passwords v users who decide to use passkeys instead. Device pins and faceID's do not sync to the cloud. Customers who have passwords on their accounts are welcome to keep using them, we are not deleting passwords or data as a part of these changes. Thanks!

That's not the point. The point is that requiring me to store biometric data on my device means it can be stolen (and become the victim of identity theft) when I shouldn't have to use it to begin with.

  1. The login experience is optimized for people who log in without passwords instead of being optimized for the method someone actually uses. That is hostile design. I shouldn't have to click through all the passkey nonsense because you can't be bothered to optimize for passwords. You are designing the login experience to be hostile to password users on purpose hoping to convince people to switch to another method when you should be designing with the user's preference at the core.
  2. We now also have reports that new accounts will no longer support passwords starting in June 2025. Again, hostile design. We should be able to log in normally.
  3. The reliance on passwordless has accessibility issues for people who can't use faceID or fingerprints.

It is clear to me that Microsoft only cares about people who agree with their current approach to \"security\". Unless something changes drastically, I will switch to Linux when Windows 10 is unceremoniously slaughtered in October. At that point there is nothing left to stick around for: just an inferior OS stuffed with AI spyware and an inferior login method that isn't securing any account data and actively tries to lock out the user who should have access.

When you login, the window has a button called Other sign-in other sign-in options, which includes passkeys and other options.  Could I suggest that the button be higher up, next to the Next button, and possibly called Other sign-in options or Other options. I use a screen magnifier, and don't see all of the screen at once. I read the screen from top to bottom.  With the Other sign-in options button so far down and out of the way, I missed it several times before finally realising that it was there.

Placing the button next to the Next button would IMHO improve useability.

The new sign-on screen looks great! There seems to be a little bug I noticed, on the Xbox sign on screen, the background looks very nice and high quality on a 4K monitor, but when going signing into Outlook.com the background looks very low quality and blurry on a 4K monitor, but then after entering the email and clicking Next, the background refreshes and looks high quality. Hi Robin, great to see the improvements.  One concern/question:  with accounts that rely on passkeys instead of passwords, how will Microsoft's authentication system enable a spouse or other family member to gain access to a user's account in the event that the person becomes incapacitated or dies.  In the ideal world, one would be able to designate a trusted spouse (or other family member) as being an alternative passkey holder.  That would allow the spouse to use their own face to authenticate to the deceased or incapacitated family member's account if needed. Does Microsoft enable this, and if not, how is it handled? A solution that I think is too hard is to require the family member to have to prove the person is deceased or incapacitated, because that means contacting customer support and proving the person has died or has become incapacitated, proving you are the authorized spouse, etc.

Hi, thank you and great questionJoeC . It’s always rough to imagine what it would be like recovering all of a loved one’s digital life. Today MSA not only supports Windows Hello passkeys but also standard syncable passkeys that can be stored in a places like the iCloud Keychain and Google Wallet. And most devices require a PIN code before setting up a faceID. Microsoft accounts also still support generation of a personal backup security codes to recover an MSA. Agree that this continues to be a challenge.
