We have been experiencing the behaviour on SharePoint Online. When a Approver user approves a SharePoint item (Document or page), the "Modified By" user does not update to the Approver user. Instead it remains as the user who last modified the document. When the Approver user approves the "Modified Date" does update to the time of approval. Here is another discussion about the same behaviour but it has no replies. Does anyone know if this behaviour is by design or a bug in SharePoint? SharePoint has a new built-in approval mechanism called Private Drafts that has started rolling out since the start of 2023. This is explained here :https://support.microsoft.com/en-gb/office/create-a-private-sharepoint-page-or-news-post-e9aa12cc-1ced-4152-bc1b-85dc0192fafe. It is not the same as an approval flow. We previously used an approval flow via Power Automate for this purpose, which sent notifications to the requested reviewer, but it seems to break when used with private drafts. Now that we're using Private Drafts, we want the Site Owner to get notifications (via email, or Teams), when an approval is requested through the Private Draft mechanism, but this doesn't seem to be possible. SharePoint's "Alert Me" functionality doesn't allow filtering by Approvals, so that doesn't help, and there is no SharePoint trigger for PowerAutomate that works with Private Drafts. Scenario: I have created a site called "Test" and in that site a document library called "Review Docs", to house documents that need approval. I have two teams. #1 team will create the documents in the "Review Docs" doc library and start the approval workflow. Team #2 will review the documents in "Review Docs" doc library and approve/request change etc. Once the docs are approved the Admins (myself and one other person we have full admin access) will move the documents to another library "Docs Home". My question is about the correct access for each of the teams. Team #1 needs Edit access for the "Review Docs" library only (not any other doc libraries on our "Test" site. Team #2 only needs to be able to approve the documents and should not be able to create, add, edit docs. If we cannot meet the above requirements I am ok with Team #2 having Edit access only to the "Review Docs" library but really do not like the idea of it. This team should basically have read only access to the whole site except the "Review Docs" which would be Approve only. Hello there, I'm trying to start an approval in Microsoft Flow for documents in a Sharepoint Online library. I don't like the mannager to be an approver, in our company it works a little different and the people who must approve change often. Is there a way to use a Sharepoint list of people as an approver list? This way more people could edit the list of approvers and I could have different lists for different document types etc. I tried "get items" and start an approval for all entries in the list, but this has not the desired outcome. So microsoft has announced for some time now that they will be building some Flow actions to integrate with the built-in SharePoint content approval system. This is great, but It leaves me with a few questions. How are permissions like this handled in "Group" sites? Old SharePoint had fine-grained and managed "permission groups". You could grant people permissions needed to approve/reject items at a very detailed level. I want to create approval flow from modern list. With Flow app, every step is very easy to understand, so there were no problem creating one. Thanks, it is a great job MS. But one thing I cannot figure out is to set an item's status by approval. From below link, it says I have to create "approval status" column with y/n option. https://docs.microsoft.com/en-us/flow/modern-approvals I can do that, but the problem is, users can change that status by them selves.
