Now in public preview: User-managed call queue and auto attendant greetings
Description Microsoft Teams now supports scenarios where call queue agents or designated auto attendant users need to adjust their greetings more frequently than a typical IT helpdesk could handle. The new feature to support user-managed call queue and auto attendant greetings allows Teams tenant admins to designate authorized users who are empowered to change greetings for call queues and auto attendants. The authorized users can update greetings without having to leave their Teams client. As background, in Microsoft Teams, call queues are waiting areas for callers, who are put on hold until an agent assigned to the queue is available to take their call. Auto attendants allow you to set up menu options to route calls based on caller input. Used together, auto attendants and call queues can easily route callers to the appropriate person or department in your organization. And now, designated authorized users can manage greetings from their Teams client, making the system even more flexible for your changing needs. Flighting status Available to everyone in Public Preview channel. How to enable A Microsoft Teams tenant admin must first designate Authorized users for the call queues and/or auto attendants. An authorized user is a Teams user who has been authorized by a Teams admin center administrator to make configuration changes to auto attendants and call queues. The user doesn't need to have access to the Teams admin center portal nor be assigned any administrative roles. For more information on how to do this, see https://learn.microsoft.com/en-us/microsoftteams/aa-cq-authorized-users, and refer to the Examples section to see how to choose permission for each type of update. If you are a Teams user whom the tenant admin has already authorized follow these steps to update your greetings in Teams for your call queue and/or auto attendant, in your Teams client, go to the “…” menu in the upper-right of the main Teams window, and choose “Settings”. For auto attendant greetings updates, scroll down to select the auto attendant to update, and you will see new settings choices, but you will only see those which your Teams tenant admin has authorized for you: Business hours greeting, After hours greeting, Holiday greeting, To customize each greeting which you are authorized to change, choose one of the following: “Add a greeting message” and type your custom greeting in the text box. This will be read aloud by the auto attendant, or, “Play an audio file” and upload an audio file in MP3, WAV, or WMA with size less than 5MB. This file will be played by the auto attendant. For call queue greetings updates, scroll down to select the call queue to update and you will see new settings choices, but only those which your Teams tenant admin has authorized for you. You can customize the following, but you will only see those which your Teams tenant admin has authorized for you: Greeting to play when a customer call comes in, Voicemail greeting when the maximum number of calls is reached, Voicemail greeting when the maximum wait time is reached. To customize each greeting which you are authorized to change, choose one of the following: “Add a greeting message” and type your custom greeting in the text box. This will be read aloud by the auto attendant, or, “Play an audio file” and upload an audio file in MP3, WAV, or WMA with size less than 5MB. This file will be played by the auto attendant. Note: A user can be authorized to customize greetings for a call queue, but that user does not have to be part of the answering rules for that call queue. If a user is not part of a call queue’s answering rules, then when authorized, that user will not see the 'Call receiving' toggle in the above screenshot. The Teams Calls App Page is cut off and there is no horizontal scroll bar if the Teams window is fully minimized. This is a known bug and it is currently being addressed. Description We are announcing that Wiki's will be retired from Teams starting January 2024. We are offering note taking capabilities within Teams channels using the included OneNote notebook provided for each team. With this release, users have an option to export their wiki content to OneNote notebooks in Teams standard channel. After exporting users can go to the Notes tab to collaborate using OneNote in channels while Wiki is read only after export. Why are we moving to a new note taking experience? This new functionality provides an improved note taking experience over Wiki. Some of the improvements are: Easy collaboration across the team View all channel notes in a team in one place organized within single notebook Rich editing with typing, ink annotations, highlighting, file attachments, etc. Easy recall & search for channel notes within OneNote Plan to enable OneNote Notes in Teams channel and retire Wiki Users now have the option to export their Wiki content to OneNote Notebooks or they can continue to read/write their existing Wiki. Post export users can continue to collaborate in Notes tab in channels and have a copy of older Wiki content available for reference. When Wikis are exported each page in Wiki will appear as a page in OneNote Notebook section. Users can’t create new Wikis in new channel experience; for note taking we suggest using OneNote. For new channels Notes will be available as default tab soon. For now, user can create Notes tab manually using add a tab option. We request you to try out the new Wiki export experience and share your feedback. How to try out the experience In Teams, go to whatever channel has the wiki you want to export. In the Wiki tab, select Get details > Export to Notes > Finish. Go to the Notes tab to access your content. We are excited to announce the launch of a new and improved experience to search within Chats and New Channels experience. Key improvements include enhanced captioning and keyword hit-highlighting for ease of consumption of results; embedded result set in the right rail for contextual consumption and introduction of search on pop-out chats. Microsoft Teams Public Preview and Microsoft 365 Targeted Release users with a Teams Premium license can now use live translated transcript in Teams meetings. As a Teams Premium user, you now have the option to translate the meeting transcript into another language than what was originally spoken in the meeting. You can select from more than 30 languages currently supported. The transcript is displayed on the side panel of the meeting, which can help make your meeting more productive and inclusive. Flighting status Available to everyone in Public Preview channel. How to enable To turn on transcription during the meeting: Go to the meeting toolbar, select More, select Record and transcribe, choose Start transcription. By default, live transcriptions are displayed in the language that’s chosen as the “spoken language“ in the transcript option. Live translated transcription allows users to see transcriptions translated into the language they’ve chosen in the option “transcript language“ that can be accessed from the Settings icon :gear: in the Transcript pane. Please make sure you have a Teams Premium license to experience the feature. In the Teams admin center, admins can turn ON or turn OFF the Transcription setting within a meeting policy located under Meetings > Meeting policies. We are making some changes to the search experience in Viva Connections app to make it easier to search in Viva Connections. With the changes, when you are using Viva Connections and click into the search box in Teams, you will start to see text change to say “Search in Viva Connections” (or the name you chose for your Viva Connections app). You will continue to get the same suggestions as before with chats, people, etc. and clicking these will continue to take you to the corresponding Teams experience. As you type in, you will notice that the search suggestions will show two new lines in the list that appears under the search box: first one (the default option) to search in Viva Connections, and the second one to search in the rest of Teams. If you hit enter (or choose the first suggestion), you will be taken to a workplace search experience similar to the one you might already experience on your intranet corporate portal. If you’d rather go to the search results page of Teams, choose the second suggestion. Flighting status This is available to all Teams Public Preview and M365 Targeted Release users who are using the classic version of Teams. How to enable There isn’t any action required for you. They can still search by using the option presented in the list of suggestions under the search box while typing. The animated backgrounds feature in Teams meetings allows you to replace an existing background with a dynamic animation for a more immersive virtual environment. It offers various options to enhance meeting experiences with creativity and personalization based on what you want. Currently, only pre-defined backgrounds from Microsoft are supported. How to enable Before a meeting starts, on the pre-join screen, select Effects and Avatars > Video effects and select a new animated background, identified by the small video icon in the bottom-left corner of the preview picture. During a meeting, you can select an animated background by clicking More > Effects and Avatars > Select an background. We are excited to share the availability of two new enhancement features for Microsoft Teams certified devices in Teams Public Preview. Now your Teams certified audio device with a Teams button can let you quickly and easily do two new functions: Join a Teams meeting from the pre-join screen, such as while you are putting on and adjusting your headphones, or positioning your speakerphone device. Bring the Meeting window to the foreground during a meeting, such as if you are multitasking during a meeting or preparing to present content in another window. Note: The second feature is available on devices with a dedicated Teams button only. A button with both the Microsoft Teams logo and the call hangup/switchhook function will not be compatible with this enhancement. The picture below shows a dedicated Teams button on an audio device. A multi-purpose button will usually have the Microsoft Teams logo and another logo or symbol. How it works To join a Teams meeting from the pre-join screen After receiving a Meeting start notification, tap your Teams Button to bring up the pre-join screen for your Teams Meeting. Tap the Teams button again to join the meeting from the pre-join screen easily and quickly. To bring the Teams meeting window to the foreground During a meeting, you may have other windows covering your meeting window, such as if you are multitasking, or preparing to present content. If you are doing this and need to get back quickly to the meeting window, such as if you need to adjust your settings, chat, or raise your hand, just press the dedicated Teams button on your certified devices and your meeting window will pop to the foreground. While in a Teams meeting on a virtual desktop, users can now express themselves using emojis that will appear to all participants to help make Teams meetings more inclusive, engaging, and fun. How to enable Users are now able to click on the React button in meeting toolbar and express themselves using Like, Love, Applause, Laugh and Surprise live reactions. If you or someone else is sharing content in a meeting, reactions will be shown at the bottom of the screen for a few seconds. Corresponding reactions also appear next to the names of participants who send reactions. Description Currently in Microsoft Teams, when multiple users are in a Teams meeting in the same room, a feedback loop is created, causing an echo. So now, it’s much easier to start a new post, keep up with the latest conversations and participate - giving you the confidence that they’ve not missed anything. Every post is now a true conversation you can focus on. You can navigate to a conversation view that makes the discussion more engaging and synchronous, just like a chat. You can also pop out the post, keep an eye on the discussion, while continuing to work on other topics. Hashtags referencing Viva Topics will provide context right in the channel on organizational topics without having to ask anyone else. A streamlined information pane will include all the important contextual information like a channel’s members and pinned posts so new team members can quickly on-board and for all members to find the information they need, right in the channel. Pin posts to make it easy for everyone to know what’s important in the channel and quickly reference it. Simplified badging makes it easier for users to understand when there are new unread activities in teams. We are bringing new usability improvements to Together Mode in Microsoft Teams. Participants in Together mode now have name labels attached to their videos. Name labels also support status icons that indicate microphone, active speaker, spotlight or pin within the meeting. Additionally, your own video in the gallery will now be removed while Together Mode is active to avoid duplication of the self-preview. You can experience more natural, immersive sound in meetings thanks to spatial audio now available in Public Preview. Spatial audio brings a next-generation immersive soundscape to Teams meetings when using either a wired stereo headset or built-in stereo speakers. It spatializes the voices of attendees across the visual meeting stage in the Gallery view. This helps make conversations more natural, increasing the sense of audio presence, and making the conversation easier to follow when multiple people are speaking together. How to enable The new Spatial audio feature is available to everyone using supported audio devices (wired stereo headset or built-in stereo speakers) on Windows and MacOS clients. You can turn spatial audio in three ways: Before joining a meeting, select either your wired stereo headset or built-in stereo speakers on the meeting pre-join screen, and then turn on the Spatial audio toggle in the Device settings pane. Breakout rooms participant shuffle delivers a new capability to randomly assign participants to rooms also after rooms are created. Participants can be randomly reassigned both prior to the meeting or during the live meeting. Organizer support for breakout rooms for VDI users is now available in public preview. Breakout rooms allow meeting organizers to split main meetings into smaller sessions for focused discussions. Features available for organizer: Setup breakout rooms on Teams VDI client Create breakout rooms in scheduled private meetings (including recurring), channel meetings and private meet now meetings Meeting organizers, co-organizers and breakout rooms managers can manage rooms and hop between rooms freely Via the Breakout rooms settings panel meeting organizers can appoint breakout room managers to manage of rooms during the live session Setup breakout rooms during an active meeting or prior to the meeting Create up to 50 breakout rooms in a single meeting Add, remove, delete and rename breakout rooms Reassign room participants from one room to another before as well as while the rooms are open Send an announcement that will show up as a meeting chat message in each room. Chats, files, and recordings: organizer will always have access to all rooms meeting artifacts Organizers can set a timer for all breakout rooms created in a meeting session via the Breakout rooms settings panel. Participants join the room as presenters, so they can present, share Whiteboard, etc. freely. They must wait for the meeting organizer to pull them back to the main meeting. Chat and artifacts shared during meeting are viewable for room participants. This option can be selected from the view switcher within meetings, allowing users to effortlessly track the current active speaker. Speaker view is particularly effective in scenarios with a limited number of key speakers and a large audience, such as town halls, trainings, or lectures - especially from the student's perspective. The Speaker View offers several enhancements, including: Easy tracking of the active speaker: The view includes a primary area on the stage to focus on key participants in the meeting. Better visual clarity: The active speaker's video is rendered at a higher resolution. Equal representation for audio and video participants: All attendees are equally represented in the meeting, regardless of whether their video is enabled or disabled. Inclusive by default: This view utilizes 16:9 tiles, providing ample space to fully display hand gestures and body language. Predictable experience: The use of 16:9 tiles and consistent placement of audio and video participants on the same stage ensures a fluid experience. Users toggling their videos on or off do not cause the entire stage to be re-rendered. The main area designated for the active speaker is also utilized for shared content, enabling seamless transitions during presentations.
