Dear Sir,

My outlook is in a trouble about full of storage 100%. I can't use right now. I want more storage for me.

Thanks.

If you are facing storage issues in Outlook due to your mailbox being at 100% capacity, you will need to take steps to free up space or increase your mailbox storage capacity.

Here are some actions you can take:

  1. Delete Unnecessary Emails: Go through your email folders and delete emails that you no longer need, especially large attachments.
  2. Archive Emails: Use the archive feature in Outlook to move older emails to an archive folder. This helps keep your mailbox organized and frees up space.
  3. Empty Deleted Items: Make sure to empty your "Deleted Items" folder to permanently delete emails.
  4. Manage Attachments: If you have a lot of emails with large attachments, consider saving the attachments to your computer or a cloud storage service and then removing the attachments from the emails.
  5. Compact the Data File (PST): If you are using a PST file (Outlook data file), you can compact it to remove deleted items and free up space. Here is how:
    • Open Outlook.
    • Click on "File."
    • Click on "Account Settings."
    • Choose "Data Files" and select your data file (usually with a .pst extension).
    • Click "Settings."
    • Click on the "Advanced" tab.
    • Click "Compact Now."
  6. Increase Storage: Depending on your email provider (e.g., Microsoft 365, Gmail), you may have options to increase your mailbox storage capacity. Check with your email provider to see if you can upgrade your storage plan.
  7. Use Online Storage: If you are using an email service like Microsoft 365, take advantage of OneDrive for Business or SharePoint to store and share large files instead of keeping them as attachments in your mailbox.
  8. Check Mailbox Rules: Review your mailbox rules and ensure they are not causing unnecessary storage consumption.
  9. Reduce Sent Items: Limit the number of emails in your "Sent Items" folder by saving important sent emails elsewhere.

Remember that the specific steps may vary depending on the email provider and version of Outlook you are using. Always be cautious when deleting emails or compacting data files, as you do not want to permanently lose important information. The text and steps were edited with the help of AI.
