Revamped Forms experience is now available for commercial users

We’ve now revamped the end-to-end experience of Forms for commercial users, offering a sleek and intuitive design from start to finish! You can now enjoy a fresh, modern look across the landing/portal page, form creation, and response analysis. This exciting update makes creating, managing, and analyzing forms easier and more enjoyable than ever before. Let’s check the new experience together. Now in the portal page, templates are organized into four categories – feedback, registration, research and quiz. You can choose one that suits your needs to start creating your form.

As you enter the design page, you'll find a wide selection of templates displayed in the left-side pane. You can browse and switch between different types/topics and quickly find the perfect fit for your needs. Additionally, if you have a Microsoft 365 Copilot license, Copilot is always available to assist you throughout the process.

Customize style and layout

In the right-hand pane, from the style button, you can select a style from our suggestions or personalize your own. Additionally, you can choose the layout for the cover page of your invitation.

Versatile distribution options

When it's time to send out the form, the new distribution interface allows you to adjust permission settings and send through URL, QR code, Outlook, or Teams. You can also engage with Copilot to help rewrite your distribution message.

The results page has also been completely revamped with a sleek, modern design. You can now quickly analyze responses with clear, visually engaging charts and graphs, making the data easier to interpret for more effective analysis.

FAQ

 

Q: How do I check individual response and open results in Excel?

A: Open in Excel, individual results and other actions have been moved to a centralized area in right-side pane.

 

Q: How do I share the result summary with others?

A: Click on “...” on top-right corner and select “Share a summary link”.

    Seems to break my process with power BI.  I now need to manually refresh my spreadsheet before I refresh my Power BI model.  This feels like a backward step in productivity

    It would be a game changer if when starting a form a pop-up like " Are you creating this Form for non-personal use such as a business process or ongoing need?  We encourage you to share the form access to other users or a group so your teammates can also have access and collaborate.  " would show up, as bvarian suggests!

    The hazzle to to move ownership within 30 days after an owner has left the company is real! Most of the users are not aware till long after the owner has left and the form is gone

    Each time you click a Template to check it out, it appears to create a new entry in My Forms.  Does this count against your 400 Form max limit per Form, question, response, and character limits in Microsoft Forms - Microsoft Support?  If so, it sure would be helpful for users to be able to multi-select Forms in the My Forms list to delete, rather than have to do it one at a time.  (Note, this limit used to be only 200 Forms, so we appreciate that it has already been increased.)

     

    Any movement on the very needed external file upload question type when a form is shared externally (Add Upload attachment feature for uploading a document, image, etc. · Community (microsoft.com))?  

     

    The idea that enterprise users are not prompted during the Form creation wizard to share Form ownership to a group, and then Admins only have 30 days to recover them if a single Form owner leaves the organization is still a huge pain point for organizational (non-consumer) users.  Something like:  Are you creating this Form for non-personal use such as a business process or ongoing need?  We encourage you to share the form access to other users or a group so your teammates can also have access and collaborate.

    Extending the Admin-recovery period to something more than 30 days would be soooo helpful.  Some forms are used on something less than a monthly cadence (e.g., quarterly/semi-annual/annual surveys or event registrations) so a month is way too short of a period of time for enterprise customers.  

     

    Being able to transfer Form ownership from one Group to another Group would be hugely helpful.  At present, it can only be moved to a Group once, and then cannot be reassigned any further.  Transfer ownership of Forms from one group to another group · Community (microsoft.com)

     

    Thanks for reading.  Your enterprise customers appreciate all the improvements that have been made to Forms.  There are simply some core-function things we'd really love to see prioritized over aesthetic changes and such.

    This is now in the Message Center as MC922626. Ideally, it would make our lives as M365 Admins easier if you could post in the Admin Message Center about major changes before you publish public blog posts. At the very least, please try to post simultaneously, to be sure admins are aware of these changes. Thank you.

    Was this not communicated on an official M365 Message Center notification/announcement? I see nothing in any of my notices. Please provide the MC number if there was one and I somehow missed it.
