If your Excel print preview shows gridlines correctly after each row, but the print-out shows gridlines only every other row, there are a few potential causes and solutions you can try:

  1. Zoom Level: Sometimes, the issue is related to the zoom level in Excel. Ensure that the zoom level in Excel is set to 100% before printing. Zooming in or out may affect how the gridlines appear on the print-out.
  2. Printer Settings: Check your printer settings to make sure they are configured correctly. Some printers have settings that can affect how gridlines are printed. Look for options related to gridlines or cell borders and ensure they are enabled.
  3. Page Setup: Verify the page setup settings in Excel. Sometimes, the issue may be related to how Excel is set to print gridlines.
    • Go to the Page Layout tab in Excel.
    • Click on the small arrow in the bottom right corner of the Page Setup group to open the Page Setup dialog box.
    • In the Page Setup dialog box, go to the Sheet tab.
    • Ensure that the "Gridlines" checkbox under the Print section is checked.
    • Also, make sure that the "Draft quality" checkbox is unchecked, as this can sometimes affect how gridlines are printed.
  4. Printer Driver: Update your printer driver to the latest version. Outdated printer drivers can sometimes cause printing issues, including problems with gridlines.
  5. Printer Compatibility: Some printers may not handle certain features of Excel, such as gridlines, correctly. Try printing to a different printer to see if the issue persists. You can also try printing to PDF to see if the gridlines appear correctly in the PDF file.
  6. Test with Different Gridline Settings: Experiment with different gridline settings in Excel to see if the issue persists. For example, try changing the gridline color or style to see if it makes a difference in how they are printed.

By troubleshooting these potential causes, you should be able to resolve the issue of gridlines not printing correctly in Excel. If the problem persists, you may give more informations or consult with your IT department for assistance. The text and steps were edited with the help of AI.

Thank you for your help. Since the problem appears only in some documents, I have not tried updating the printer driver, but I have tried most of your suggestions. The PDF looked correct on the screen but still printed incorrectly. There is no regularity to the gridlines--sometimes they print after 1 row, sometimes 2, sometimes 3.

I use Microsoft Office 365. I saved the file to Microsoft Print to PDF. Operating system is Windows 10. File is stored on the hard drive.
How do I attach a file?

@debrasheila

Thank you for providing additional details. Given that you are using Microsoft Office 365 and saving the file to Microsoft Print to PDF on a Windows 10 operating system, here are some specific steps you can take to address the issue of gridlines not printing correctly:

  1. Zoom Level in Excel:
    • Open your Excel file.
    • Ensure that the zoom level in Excel is set to 100%. You can check and adjust the zoom level by clicking on the percentage value in the bottom right corner of the Excel window and selecting "100%".
  2. Page Setup in Excel:
    • Go to the Page Layout tab in Excel.
    • Click on the small arrow in the bottom right corner of the Page Setup group to open the Page Setup dialog box.
    • In the Page Setup dialog box, go to the Sheet tab.
    • Ensure that the "Gridlines" checkbox under the Print section is checked.
    • Also, make sure that the "Draft quality" checkbox is unchecked.
  3. Print Preview in Excel:
    • Go to the File tab in Excel.
    • Click on Print to preview how the document will appear when printed.
    • Ensure that the gridlines are displayed correctly in the print preview.
  4. PDF Printing Options:
    • When you go to print the document to PDF using Microsoft Print to PDF, ensure that the settings are configured correctly.
    • In the print dialog, check if there are any options related to gridlines or cell borders that need to be enabled.
  5. Update Printer Driver:
    • Ensure that your printer driver is up-to-date. Outdated printer drivers can sometimes cause printing issues.
  6. Test with Different PDF Printers:
    • If the issue persists, try printing the document to PDF using a different PDF printer or software to see if the problem is specific to Microsoft Print to PDF.

By following these steps, you should be able to troubleshoot and resolve the issue of gridlines not printing correctly to PDF in Microsoft Office 365 on Windows 10. If the problem persists, I recommend that you visit a trusted support center in your area, as it could possibly be a hardware error, as I can't judge from here. Otherwise, as a last resort, I recommend deleting the entire Office and reinstalling it, if this is of course possible.

Thank you for your patience and understanding.

Followed your suggestions but was still having the same problem. However, I was able to print correctly using HP Smart . Any further thoughts?
