Captions in Word
Yes, apply a different, unnumbered style. If the corresponding text should be picked up by the table of contents, you will have to apply som other heading style (with no numbering). You can create a custom style whose Outline Level is set to 1.

I placed Header 1 back in my styles, based it on CHAPNUM so I have the correct formatting. I then reset the chapter number heading to Header 1 and picked the correct numbering scheme. After that, everything worked. Thanks again for all your patience. I really learned a lot.

What I don't understand is that it was working great until today. Suddenly, I am getting this message when I didn't change anything. The style for my Chapter Number header is CHAPNUM and I have the 1 1.1.1 numbering scheme selected. Why would it work fine then suddenly do this?Stefan_Blom

The message indicates that the STYLEREF is looking for a paragraph style that it cannot find. Double-check that the correct style is applied to text.

Well, I thought I had things sorted out. However, I opened the document this morning and it is giving me the following error message instead to the chapter number: Error! No text of specified style in document. This is true for tables and figures. I did add a figure then put a caption under it. Can you help me with what is going on here?Stefan_Blom

Thank you again. That fixed that problem. Now I am left with the problem with the table captions. Everything is working as it should for the two-digit system for the figures. However, the caption for the tables is reading "Table Error! No text of specified style in document.1. I don't know what happened to cause this problem to surface. Stefan_Blom

The TOC field code says that Style3 is mapped to level 5 in the table of contents, meaning that the formatting of Style3 in the TOC is determined by the formatting defined by the TOC 5 style. In other words, you have to look at TOC 5.
- SnowmanMSMay 31, 2024Brass ContributorHere is my TOC as it is now. You will note that only FRONTMAT, CHAPTITLE, and Style3 is in all caps. CHAPNUM and CHAPTITLE should be but Style3 should not. Also, I suddenly have a problem with my tables numbering. Instead of the two-digit system, it is now reading "Table Error! No text of specified style in document..1." The figures are all displaying the two-digit system correctly.

I don't understand what that says about why only Style3 is showing in all caps in the TOC when it is not all caps in the document. What do I do to correct that?Stefan_Blom

In the TOC field code, the \t switch lists style names and levels. That means it overrides the levels assigned to the styles.
In other words, in your TOC field, { TOC\T "HEADING 1,1,HEADING2,2,HEADING3,3,SUBTITLE,1,FRONTMATTER,1,CHAPTITLE,2,CHAPNUM,1,APDXLETTETITLE,1,STYLE1,3,STYLE2,4,STYLE3,5}, Style1 is defined as a level 3 heading (in the TOC).

I compared the Field Codes for the TOC in my copy to that of the original and saw that CHAPNUM, which is the chapter number field was not there in the original document, I deleted that field from the field codes and it is now displaying properly. The only problem I am left with now is that, for some reason, certain headers and showing in my TOC with all caps although they are not all caps in the original. It seems it is doing that only on Style3 and none of the others. What do I have wrong?

What is the exact appearance of the TOC field code? Press Alt+F9 (or Alt+Fn+F9 on some keyboards) to display field codes and report back what you see.

Okay. I have fixed the issue with the chapter number showing on my TOC but not the levels. What do I need to do to make it show three outline levels in the TOC. It was showing three with Header 1-5, but is not doing so with Style1-5, even though I have them as Outline Level 1-5 respectively.Stefan_Blom

Hello again. I have followed your instructions and the two-digit caption feature is now working properly. I setup an unnumbered style for five levels (Style1-5) and numbered them Level One - Five respectively. However, my Table of Contents is now picking up the Chapter number header, which I don't want it to, and is only picking up two levels of headers and I need it to pick up three. How do I correct that?Stefan_Blom

As a next step, you will have to apply your new style to those paragraphs that should "behave" as Heading 1 paragraphs but not include numbering. This will most likely be a manual task, of course. I can't think of a way to automate the process.
