How to add text boxes to PDFs on a Windows laptop?
To add text to a PDF on a laptop running Windows 11 or Windows 10, use Microsoft Edge, a browser annotator, or a desktop PDF app. The added text normally sits over the existing page as an annotation or new object; it does not replace the original words underneath.
A text box places fixed words on the page. A fillable text box in a PDF is different: it creates an empty form field for another person to complete and requires a PDF form creator. The methods below are for adding names, instructions, or other text yourself. If you need to change words already in the PDF, use an Edit Text tool instead.
Add basic text with Microsoft Edge
Microsoft Edge is included with Windows and provides the quickest built-in method for placing plain text on a PDF.
- Right-click the PDF and select Open with > Microsoft Edge.
- Choose Add text from the PDF toolbar.
- Click the required position and enter your text.
- Adjust the size, color, or spacing with the available controls.
- Select Save As and create a separate PDF copy.
Edge works well for short labels and simple answers. Its font and alignment options are limited, so use a PDF editor when you need more control over the appearance or placement of added text.
Add text boxes to a PDF online for free with PDFgear Online Tool
PDFgear’s Annotate PDF tool lets you add text to a PDF online without signing in or adding a watermark. This tool processes the document inside the browser, so its PDF data is not uploaded to a processing server.
- Open PDFgear Online Tools > Annotate PDF.
- Click Select PDF File and choose the PDF.
- Select Add Text, click the page, and type in the new box.
- Choose a font and color, use Text Align to set the alignment, apply bold if needed, and position the box.
- Click Download PDF to save the result.
The downloaded PDF retains editable text boxes, so you can make further changes later. For regular work or use without an internet connection, the desktop app is another option.
Add and format text offline with PDFgear for Windows
PDFgear is a free Windows editor that lets you add text to a PDF without Adobe or an account. All functions in the desktop app run locally and can be used offline, so the document does not need to leave the laptop.
- Open the PDF in PDFgear.
- Go to the Edit tab and select Add Text.
- Click where the text box should appear and start typing.
- Resize or move the box and adjust the text formatting.
- Select Save As to store the edited PDF under a new name.
This desktop workflow provides more positioning and formatting control than Microsoft Edge. The new text remains a separate PDF object, making it easier to select and adjust before saving.
For a short label, start with Edge. Use a browser editor when you need more formatting options, or a desktop app for regular offline work. Reopen the saved copy to check that every text box is positioned correctly and fully visible.
