The best way to backup Windows 10 to external drive?

My old Windows 10 PC is short for free storage as it only has a 128GB SSD inside. I purchased a new SSD and want to backup Windows 10 first before reinstalling Windows 10 on the new drive. Does Windows 10 have a built-in backup program or I need to use a third-party app to backup Windows 10 to external drive? I am not a tech savvy and need your advice on this matter.

    Using File History to backup Windows 10 to external drive is pretty convenient, but it’s not perfect. Here are some of the downsides I’ve seen or experienced myself:

    1. File History mainly backs up personal files in your Documents, Pictures, Videos, Music, and Desktop folders. It doesn’t back up system files, installed programs, or complete system images. So if your OS gets corrupted or you want to restore everything, you’ll need a different backup method.
    2. If you forget to keep the external drive connected or it gets disconnected, your backup won’t run. Plus, if the drive fails or gets damaged, your backups are at risk.
    3. Since File History keeps multiple versions of files, it can take up a lot of space over time. If you don’t manage it regularly, your external drive might fill up quickly.
    4. Backup Windows 10 to external drive can be slow, especially with large files or if your external drive isn’t fast. This can be annoying if you want quick backups or restores.
    5. External drives are portable, so if you lose the drive or it gets stolen, someone could access your backed-up files unless you encrypt the drive.
    6. Since it focuses on user files, your system settings, installed apps, or system configuration aren’t saved. You’d need a system image for that.

     

    File History is great for keeping versions of your personal files easily accessible, but it’s not a full backup solution. For comprehensive protection, consider combining it with other methods like system images or cloud backups.

    Start with File History, a built-in tool that automatically backs up personal files (documents, photos, etc.) to an external drive or network location. Enable File History in Settings > Update & Security > Backup, and set it to run hourly or daily. This ensures frequent, incremental backups of your most important files, allowing easy recovery of previous versions if needed. Pair this with OneDrive or another cloud service for offsite backup, protecting your data from physical damage or theft.

    Second, practice the 3-2-1 rule: keep 3 copies of your data (primary + 2 backups), on 2 different media (e.g., external drive + cloud), with 1 offsite (e.g., cloud or a remote drive). Regularly test your backups by restoring files or system images to ensure they work.

    Combine automated tools with manual checks for a robust strategy that minimizes downtime and data loss. This layered approach ensures you're prepared for hardware failures, ransomware, or accidental deletions.

    When you're doing backup Windows 10 to external drive, there are some common pitfalls that can trip you up if you’re not careful.

    1. Make sure your drive has enough free space for a full system image or files you're backing up. Double-check before you start.
    2. If your backup software has a verification option, use it. Or try restoring a small file first just to make sure everything’s working.
    3. Always create a recovery drive or rescue media using Windows or your backup software. It’s a lifesaver.
    4. Always safely eject the drive after the process and avoid unplugging during a backup.
    5. Keep at least two copies on different drives or locations if you can.

    A System Image Backup in Windows 10 is a complete snapshot of your entire system, including:

    • The Windows operating system
    • Installed programs and apps
    • System settings and configurations
    • Personal files (documents, pictures, etc.)
    • System drivers and registry

    It essentially creates a full copy of your hard drive (or selected partitions), allowing you to restore your PC to the exact state it was in when the backup was made.

    To backup Windows 10 to external usb drive, you can open Command Prompt as Administrator and run:

    wbAdmin start backup -backupTarget:E: -include:C: -allCritical -quiet

    Please replace E: with the drive letter of external backup drive.

    ⚠ Limitations:

    • Requires a lot of storage space (equal to the used space on your system drive).
    • Must be stored on an external hard drive, network location, or multiple DVDs.
    • Not automated (unlike File History)—must be done manually.
