On a Mac, MacBook, MacBook Air, or MacBook Pro, you can reduce a PDF's file size for free with Preview or PDFgear. However, a large file-size reduction without any quality loss is not realistic for PDFs containing scans, photos, or detailed graphics. Save a separate copy and start with light compression.

A PDF compressor reduces file size mainly by optimizing embedded images and removing unnecessary PDF data. The more aggressively it compresses a PDF, the more likely image quality or fine detail will be affected.

  • Preview: Compress a PDF with Preview on macOS

Preview is the built-in macOS PDF viewer. It provides a quick free method to reduce PDF file size without installing Adobe Acrobat or another app.

  1. Open the PDF in Preview.
  2. Select File > Export.
  3. Choose PDF as the format.
  4. In Quartz Filter, choose Reduce File Size.
  5. Save the smaller PDF with a new name.

This is the fastest built-in approach for a PDF that is only slightly too large for email or an upload form. Preview does not provide detailed compression controls, and its Reduce Files Size filter can noticeably reduce the quality of photos, scanned pages, or small text. Keep the original PDF in case the compressed copy is too soft.

PDFgear is a free PDF editor for Mac that provides compression levels, making it more suitable than Preview when you need to balance PDF size and visual quality.

  1. Open PDFgear and select Compress PDF.
  2. Click Add Files and choose the PDF.
  3. Choose a compression level.
  4. Export the result as a new PDF.

PDFgear offers Low, Medium, and High compression levels. Start with Low: it gives the smallest file-size reduction but the best chance of preserving original images, charts, and text. Move to Medium or High only when Low compression does not reduce the PDF enough for your email or upload size limit.

  • Adobe Acrobat Pro: Reduce PDF file size with more control

Adobe Acrobat Pro is the paid option. Its PDF Optimizer provides more detailed control. But the Acrobat app for Mac does not provide simple Low, Medium, and High compression levels.

  1. Open a copy of the PDF in Adobe Acrobat Pro.
  2. Open PDF Optimizer and review the available optimization settings.
  3. Save the optimized PDF under a different name.
  4. Check the resulting file size and review important pages at 100% zoom.

Acrobat Pro cannot usually guarantee an exact output size, such as 5 MB. If an upload site has a strict limit, save a copy, check its size, and adjust the optimization settings gradually.
