Viva licencing - do all users need a licence for tracking of open rates for every internal recipient
Hi,
I am hoping my query makes sense so here goes:
If we license 1 user with Viva Insights, would this allow the tracking of open rates for every internal recipient of mails from this account? Or is it that have to license all of the recipient accounts to allow email open rate tracking?
As an example - we want to provide our comms team a licence to allow them to track institutional open rates for their marketing mails from a single email address.
Do we really have to provide a Viva licence for all members of the whole institution for the comms team to track the open rates for this one account?

Open rates are part of personal insights and would be shown within Outlook in the Insights Outlook Add-in. In order to have this feature enabled the service plan required is a Viva Insights Subscription.
I don't believe that all recipients need to have a Viva Insights license assigned to them but they must be internal to your company.
Only certain types of emails are reported about and they must be sent to 5 or more recipients:

Hello, we are also currently trying to use the email tracking functionality at our organization.
We currently have MS E3 licences for all our staff. Per Microsoft documentation, it looks like personal insights would already be included and we wouldn't need to obtain a separate Viva Insights licence. Would anyone know if this is true?
If so, my second question would be how we could get the Viva Insights Add-On to appear in outlook as we currently don't have that available as an add-on to choose from. Would our admin need to specifically turn on Insights for outlook? Many thanks.

I heard back from the team and yes MS E3 licenses do give your staff access to Personal Insights, but NOT advanced analytics (queries/pbis) and NOT org insights/leader insights either.- KChau18Copper Contributor

I am waiting for further information from the sales team as I am unfamiliar with licensing packages and what is included in the different options. I will get you an answer for question 1 soon.
As for your 2nd question, you will need to set up and deploy Personal Insights for your company in order for the outlook add-in to become available. Please follow this deployment guide: Configure personal insights defaults | Microsoft Learn
