Project for the Web -- How to link tasks between different projects ?
- Mar 06, 2025
Hi Paul, it is something different. Behind the scenes when Microsoft designed Project for the web (now Planner 'premium' functionality) they built the back end on the Microsoft Power Platform and a database called 'Dataverse', which means a couple of things:
- You can build and configure the 'Power App' for Planner to capture data beyond the schedule in Planner, like issues, risks, status, etc.
- You can develop workflows around this data to implement PM processes like gate approvals, change reviews, etc. and
- You can provide an easy web-based User interface in M365 into the data through what's called a 'model driven Power App', which would INCLUDE the schedule you'd typically see in Planner premium. In essence it gives you a platform to build a more complete solution, as many enterprises need more than what's in the core planning tool to meet their needs.
Microsoft released an example of what a solution could look like called 'Project Accelerator', which configures this Power App with representative fields, forms and reports. Companies like ours build solutions on this platform and have our own 'flavor' of an accelerator. It gives you a ton of capabilities and flexibility to do things that aren't native to the core Planner app, without locking you into just what Microsoft builds. As your organization grows, the app can grow and change as well.
Hope this helps. Happy to provide links and examples of what the 'Planner Power App' looks and functions like if needed.
Dear all,
I have similar requirements and context as Paul. Essentially, I need each project manager to handle their own planning while keeping it synchronized with mine in both directions:
- Main milestones should be updated from my program planning and sync. to project managers.
- Main deliveries should be updated by project managers and sync. to my planning.
I see two possible solutions:
- Separate P4W plans synchronized via Power Automate (if feasible). This approach would require:
- Identifying tasks to be synchronized, potentially using a specific ID field.
- Protecting this ID field to ensure it remains intact.
- Managing everything within a single P4W plan, using groups. However, this would require:
- Task administration: Defining permissions based on, for example, the 'Assigned to' field as protection.
Additionally, since Project Accelerator was mentioned, I would like to use it, but I am unable to import the solution. What license or Power Apps role is required for this?
Finally, I have a list of risks, and I need to create tasks related to these risks in my planning. I attempted to add a task to the Task Project table in Dataverse (which stores P4W tasks) using a Power Automate workflow and manually via Power Apps. However, I seem to lack the necessary permissions. Specifically, I am unable to:
- Add columns to any tables.
- Add or update rows in the Task Project table (which is marked as a restricted table).
Could this be a privilege issue? Do I need a Collaborate role? Should the privilege level be set to Parent, Child, or Business Unit per table? Or do I need a specific license such as Dynamics 365 Project Operations?
Current Licences:
- Basic O365
- Power Apps Per User (Premium)
- Project Plan 3
I appreciate any insights you can provide.
