Single task to be done by multiple users
- Sep 23, 2018
Can I suggest you create one task, and use the checklist to assign a tick box for each person?
At a glance you can then see who has put a tick in their box and who has yet to do so. Relies on honesty that you will only check/tick your own box though.
There's also a suggestion that seems similar in UserVoice for Planner, so go and Vote for it: https://planner.uservoice.com/forums/330525-microsoft-planner-feedback-forum/suggestions/18848320-allow-complete-task-per-assigned-person
"assuming your then looking for a way to have one task with a way for each person to update and mark their piece complete?"
Yes, that's what I need. I need a way to assign a single task to multiple users and each of them should mark their piece.
- rwchildressJan 13, 2022Copper ContributorThis functionality is what our team needs also. As a Manager, there are many tasks that one assigns to the team where each team member needs to complete and report on their assigned task individually. Hard to believe this was not one of the first stories written for the Task Application. I cannot think of an example where a manager or team lead would ever want to assign a task to their team and have one team member mark the task complete for all team members. Could someone explain the thought process behind this functionality?

Anwesh Gangula I do this all the time. I create the task and then assign all the users. Then-in the checklist portion of the card, I add the names of the people that are assigned and they mark ONLY their name off when they have completed their portion. Only the owner of the task can mark the actual task complete. It requires some training and monitoring, but it has been working successfully for me for a few months now. I attached a screen shot for reference.

How does the owner of the task do this?

What if you have a dozen people to assign the task to?

triciamcquarrie Not a practical solution for 120+ Store Managers but good to know.

- JRCNRFMay 11, 2021Copper ContributorTwo problems with this method:
1. now you have to type out each person's name in the checklist (and spell them correctly) rather than adding users (using partial names and having the rest fill in for you); and
2. you still have to count on everyone not to accidentally mark the whole task complete for everyone. You need to tell them to bypass the normal way of marking a task as complete and ask them to use the software as it wasn't intended to be used. I think the real issue is why this simple and necessary feature was omitted. - kknuistMay 26, 2020Copper Contributor
If you assign the task to a group of people using the checklist, will the system alter the team member that they have been assigned a task?
- dnordahlJun 19, 2019Copper ContributorIs there anyway to avoid having to manually add each person in the task. What if 1000 people on a team need to complete a survey by a due date? And you don't want to manually add them, and you want to have planner remind people who haven't completed it instead manually of spamming everyone that already has repeatedly with reminders?
- Jun 19, 2019There’s currently a limit of 11 people assigned to a single task
- DM Advisor AnuragSep 23, 2018Copper ContributorOnly one tool can do this thing.
That is Google classroom.
You can create class, add all your team as students and create a assignment.
This will be assigned to each single member
And you can check reports and also reaward marks as per member performance.
