Planner Tasks Blocking My Outlook Calendar - How to Change to “Free”?
I’ve synced my Microsoft Planner tasks with my Outlook calendar, but now they’re showing as “Busy” and blocking my availability. Is there an easy way to change these events to “Free” so they don’t interfere with my work calendar? Thanks!

By default, when Planner tasks appear in your Outlook calendar, they show up as “Busy,” which can make your calendar look full even if those tasks don’t actually block your time. Unfortunately, there’s no global setting in Planner to change this automatically, but you can manually adjust it. In Outlook, open one of the synced Planner task events, go to Show As, and change it from Busy to Free, that will stop it from blocking your availability. If you want to apply this automatically going forward, you can set up a Power Automate flow that changes the “Show As” status to “Free” whenever a Planner task is added to your calendar. It takes a little setup, but it’s the best long-term solution to keep your schedule clean while still seeing your tasks.
