Too many Outlook folders
Hello everyone,
I am trying to help someone with their issue of having almost 500 Outlook folders (and subfolders) created and now they can't find anything. They are afraid to sort the folders any kind of way for fear of "not being able to find anything anymore". They already are having issues with searching for things because they don't even know what folders have already been created at this point.
Does anyone have any best practices for someone that has an overabundance of Outlook folders and wants to find a solution to simplifying their folders?

While I do not have any recommendations on folder structure without knowing what sort of data is in there. Here is what I will say, I would look into why search is not working. Has the end user tried using OWA to do a search? Can you share what version of Outlook the end user is using? Is the account in cached mode? Is all the data being downloaded so you are looking at all email items? As far as clean up goes, here is Microsoft's guide to manage mailbox sizes https://support.microsoft.com/en-us/office/manage-my-mailbox-size-792b521c-3f4e-404e-b436-9c197bad6f45#:~:text=Mailbox%20Cleanup%20is%20a%20one,the%20size%20of%20your%20mailbox.&text=In%20Outlook%2C%20choose%20File%3E%20Tools,of%20individual%20folders%20within%20it. Hope this helps!
Best,
