outlook shared mail box - how to manage tasks / actions and emails in a shared email box
- Sep 06, 2023
Hi zj215
You can create Groups in the To-Do. Create a task list for each person within the Group and drag the email/task under the group's name.
While in New Outlook or Web versions, you can easily add, review, and monitor tasks via My Day Tab.

For your scenario, dragging emails to the Task List in Outlook is indeed useful for individual tracking, but it doesn’t work well for group collaboration. You’re right in thinking a shared task management system would be more efficient for a team.
Additionally, you could implement a simple folder system for triage (e.g., "Unassigned," "In Progress," "Completed"), but SBX can automate and streamline that process, making it easier to assign and track emails without missing anything.
A simpler alternative is to use SBX, which integrates directly into Outlook and allows you to assign emails to team members for tasks. With SBX, you can track who is working on which email, and mark tasks as open or closed. This allows for easy collaboration, even in a shared mailbox.
Teams’ Tasks feature can also be used, but with SBX you can keep everything within Outlook and maintain the shared inbox workflow without needing to shift to another tool.
