Email Signatures vanishing - New Outlook
I experience a similar problem and suspect it is related. All of my custom signatures disappeared and there is now only one signature option for all mailboxes connected to my profile. I'm small business but on M365 and latest version of Outlook. Either way, the signature field was cleared out and I have to now choose which signauture to use by recreating it. I just copied from a previously sent email, but I'll have to manually copy/paste for each distinct mailbox account I have.
Below is my chat with Copilot a few moments ago...
ME: "It appears the option to create custom signatures for each mailbox account in Outlook client is no longer available and only one signature can be customized for all mailbox accounts."
COPILOT: "You're right—Microsoft has made changes to how signatures work in the Outlook client. Previously, users could set different signatures for each mailbox account, but recent updates appear to have streamlined this feature, allowing only one signature to be customized across all accounts. If you need multiple signatures, you might have to manually switch them when composing emails or use third-party tools like CodeTwo Email Signatures 365, which offers more flexibility. Another workaround is to create multiple signatures in Outlook and insert them manually when needed."
Yes, I have just discovered this latest 'update' to New Outlook where all my custom signatures have disappeared and now there is only an option to create one signature. As a Director of a small business, my management team have different signatures depending on the function we are preforming, and also if it is a new email or a reply. Some are shared inboxes as well making it more complex... now. I am becoming increasingly frustrated by these new and improved versions, that strip much-needed functionality that I need, and either bury it and just take it away. Often about a shift to cloud-based services, some aesthetic change over functionality, or seemingly just on a whim with no warning. Outlook to new outlook is a massive downgrade. I am increasingly wondering if we should not ditch the whole Microsoft ecosystem that we pay for the privilege of using, when it feels like the products are less useful and actually hinder my productivity on products that have managed the feet of being less useful over the last 30 years. This coupled with ever-increasing prices that seem to be inversely proportional to helpfulness seems like a slap in the face. Don't even get me started on AI rammed down your throat at every opportunity, forced to route your secure email traffic through Microsoft servers, loss of locally stored pst files (crucial for backup and GDPR/FOI compliance), and the woeful interface with iOS (we use iPads in the field). Time to finish the switch over to Thunderbird (clunky, looks dated but it actually works and you don't pay for honour) as this is just a step too far for me. Abysmal.
