Making a booking page on behalf of someone else
Yes, you can manage Microsoft Bookings pages on behalf of others without needing full Microsoft 365 admin rights, as long as:
Bookings is enabled for your tenant
You have the necessary permissions and calendar access to the people you're booking for
Here’s how to set this up properly:
Step-by-Step: Creating Bookings Pages for Other Staff
1. Create a New Bookings Calendar
Go to Bookings Web App and create a new booking calendar for each Director/Manager. You’ll be listed as the admin by default.
2. Add Your Directors/Managers as Staff
- Go to Staff in the left menu.
- Click + Add Staff.
- Add the Director/Manager using their email.
- Assign them the role of Administrator (so they can manage their calendar later if needed).
- Uncheck “Events on Office calendar affect availability” if you don’t want their calendar conflicts to impact availability (optional).
3. Manage Their Calendar Settings
Since you already have full access to their Outlook calendars:
- You can ensure availability is accurately reflected.
- You can create or edit services, time slots, buffer time, etc.
You don’t need to be a Microsoft 365 global admin to do this, only the owner of the Bookings calendar.
4. Access All Calendars from One Login
All calendars you’ve created will appear in your list when you log into Bookings. You can toggle between each manager’s calendar as needed.

HI, why do I need to create a new calendar - they already have one ? Surely if i create a calendar it won't show what their current availability is? Also, when I go to bookings I don't have the option to 'create a calendar'. I can only 'create a meeting type' or 'create a booking page'....? I am logged in as myself and it only sees me and my calendar and booking page. There is also no option to “Events on Office calendar affect availability” if I'm setting up a new booking page.

To manage calendars on behalf of your Directors/Managers, you need to use the Microsoft Bookings app – not “Bookings with Me”.
