Main bookings calendar not showing busy blocks from outlook

When we first started using bookings earlier in the year, if you had an appointment in outlook it would show a block for the staff being busy.  This is necessary so when manually adding appointments we don't double book a staff member.

Now however, those blocks are not showing.  Outlook does appear to be pushing the info to bookings, but they only show if you go into the "Calendar and Availability" section of the staff details screen (multiple clicks outside of the main calendar).  Going there every single time to book a staff member is not practical.

Does anyone know how to get the main calendar to show when staff are busy again?

  • It looks like what you’re seeing isn’t a setting you can switch back on, but rather a change in how Microsoft Bookings now works. In the newer version, Outlook appointments still sync to Bookings, but they no longer appear as busy blocks on the main calendar view; instead, they only show up in each staff member’s availability panel. This means the main calendar won’t automatically warn you of double bookings the way it used to. The only real workarounds right now are to check availability in Outlook or Teams before adding an appointment, or to open the staff availability screen inside Bookings. I know it’s less convenient, but at the moment Microsoft hasn’t given us a way to bring those busy blocks back into the main view.
