Office 365 with external SMTP server

Hello everyone

I am already using some Office 365 products, but now I have an environment where I'm not quite sure how to set it up most easily and avoid potential problems in day-to-day operations. 😉

The situation is that we have a company that has been split, but it still communicates through the same domain/server and presents itself externally as a "single unit." Let's call the domain CompanyOld.ch. I'm not really concerned about the old company since I have nothing to do with it. A new company now exists with the domain CompanyNew.ch, and we have set up Office 365 for it with Mail, SharePoint, etc., which all works fine.

Now, I want to achieve two things:

1. Emails should be automatically fetched from the server CompanyOld.ch and loaded into the corresponding mailboxes on the CompanyNew.ch server so that the new functionalities can be used. Similar to how it could be done with a local Exchange installation using PopCon.

2. The users of CompanyNew.ch should automatically send emails using the CompanyOld.ch address, and the emails should also be sent through the old server.

Sooner or later, everything will be fully separated, but that might take another 2 to 5 years.

We are talking about two email addresses/users here, and possibly one more email address might be added later. So, not 100 users.

Does anyone have experience with this? What is recommended in this case?

Best regards, Damian

My original thought was to fully integrate everything into Office 365. The old company domain will primarily be used for sending and receiving emails for the time being, and unfortunately, migrating this domain to Office 365 is not an option. That's why I'm setting up everything in Office 365 with this new company domain, e.g., email address removed for privacy reasons, and the users will log in everywhere using this account. Even when I send documents to customers, the link will include the Firmaneu.ch domain.

Of course, I could create an Outlook profile with the Firmaneu.ch domain and add the old mailbox via SMTP/POP, but then I would lose many of the functions that the new Office 365 provides, and I would have to configure the mailbox on every device (tablet, mobile phone, etc.).

That's why I would prefer if Office 365 could retrieve emails from the POP server and deliver them to the mailboxes, and when I send an email, Office 365 sends it to the old SMTP server, which then sends it under the old domain.

Is there anything I can do to achieve this?

      Best regards,
      Damian
