Email Access for banks branch IDs

Hi,
One of My customers FSI currently have one common ID for a particular banking branch whose password credentials is compromised b/w multiple people in that branch.

On recommending Shared Mailbox for Common/branch IDs across the Licensed users; Customer apprehension is against licensing Individuals as personal mailboxes are not frequently used.

What could be the best possible recommendation?

  • Hi Sagar_Jain19683,

Shared mailboxes are the best solution for such a scenario, as you suggested to the customer. But if they really want to avoid that, try to secure the account as much as possible.

    - Complex password with regular updates.

    - MFA

    - Don't share the password. Grant users access to a password manager, ( like "Keeper" ), in order to protect it.

Of course there're other possible cloud solutions, ( M365 ), depending on the mailflow requirements. The mentioned one are the basics. ( Azure Conditional Access could also be a good option ).

      Thanks for the response.

Just to add; Customer is willingly sharing his common mail id credentials amongst the employees of a branch just to save on the User based License.
For Shared Mailbox as well we need to assign the user License to them, right?

Shared mailboxes doesn't consume license, but the user will need a licensed mailbox to access it. So, in that case, the answer will be yes.
