Disabling Sent Messages Storage in Mailbox

Dear all,

I am currently configuring the "Scan to mail" feature of a multifunction device for which i'm using a  Exchange online as SMTP relay (I have created a dedicated user/mailbox for this )

SMTP relaying works well, however I have noticed that all scans are stored in the sent folder of the dedicated mailbox which is not compatible with confidentiality / privacy regulations here.

Do you know if it possible to disable the storage of sent Items ?

Thanks

  • Or you can just configure a retention policy for the mailbox that deletes those message after X days.

  • As you are using a mailbox to send emails they will be stored in the mailbox.
To prevent this you can configure connector using below:-
    https://docs.microsoft.com/en-us/exchange/mail-flow-best-practices/how-to-set-up-a-multifunction-device-or-application-to-send-email-using-office-3#option-3-configure-a-connector-to-send-mail-using-office-365-smtp-relay

So your MFP is configured to authenticate against a mailbox. Have you looked into direct send?

    Opt 2: https://docs.microsoft.com/en-us/exchange/mail-flow-best-practices/how-to-set-up-a-multifunction-device-or-application-to-send-email-using-office-3

This will not use a mailbox and no sent items are recorded.
