A question about migrate account
Hi all,
We have a hybrid join AAD, we need to migrate a colleague‘s account from A account to B accont, I think two way but I don't know which method is feasible: 1 Directly changing the account name, will his original account's OneDrive and Exchange accounts also be changed? 2. Create a new account directly and move OneDrive and mail data over? May I ask which method is more suitable?

- Directly Changing the Account Name:
- Pros: This method is simpler and quicker. The user's OneDrive and Exchange accounts will automatically update to reflect the new account name, preserving all existing data and settings.
- Cons: There might be some temporary disruptions as the changes propagate through the system. Additionally, if there are any issues with the name change, it could affect access to resources.
- Creating a New Account and Moving Data:
- Pros: This method ensures a clean slate for the new account, which can be beneficial if there were any issues with the old account. It also allows for a more controlled migration of data.
- Cons: This process is more time-consuming and complex. You'll need to manually migrate OneDrive and Exchange data, which can be prone to errors and data loss if not done carefully.

The best option remains Option 1,
However, here are additional solutions for managing the email address change
where you directly add the new email as an alias, set it as the primary address, and retain the old email as an alias.
Email - Shared Mailbox Approach
- Convert the Existing User Mailbox to a Shared Mailbox
Log in to the Microsoft 365 Admin Center.
Navigate to Users > Active Users.
Select the user mailbox, and under Mailbox Settings, convert it to a Shared Mailbox.
2. Grant Access to the Shared Mailbox
Assign Full Access and Send As permissions to User B’s email account.
This allows User B to send emails as the shared mailbox and access its contents.
3. Inform the Users
Notify User A that their mailbox has been converted to a shared mailbox.
Inform User B about the permissions and provide instructions on how to access the shared mailbox.
4. Verify Permissions
Ensure User B can access and use the shared mailbox in Outlook or Teams.
Test sending and receiving emails from the shared mailbox.
OneDrive - Data Transfer
- Share User A’s OneDrive with User B
Log in as User A or use admin credentials.
Open OneDrive, select the required files or folders, and share them with User B’s email address.
Ensure Full Control access is granted to User B.
2. Remove User A’s License
After the data is securely shared and permissions are set, remove User A’s license in the Microsoft 365 Admin Center.
