Introducing new SharePoint news for email feature

We are excited to announce that we are currently rolling out a new feature called SharePoint News for Email. This feature enables you to convert your SharePoint News Posts intro distributions that can be read fully in email inboxes. You can now engage your audience directly in their inbox and track their mail reads.

To create a News post for email, select a “Made for email” template from the news template picker:

When you are finished authoring, you can now post your news and send it fully to email in one step

 

SharePoint News visible in the SharePoint portal and in the email client.

 

Sending a page as an email will not change existing site permissions, and sending a page as an email will not give your recipients access to the original page if they don’t already have it. You can think of sending mail by email as making someone a photocopy of a page in a book. They can read that page, but nothing else in the book.

When will this happen?

This update will roll out to Targeted Release customers starting August 2023, and to all customers by the end of September.

How will this impact your organization?

Authors of SharePoint News will now be able to send news posts as emails. 

 

What you need to do to prepare?

You do not need to do anything to prepare for this update, but you may want to let your users know about this improvement.  

 

Will the view counter for news include the email views?

Yes. View counters for your news articles will include also views of the news article through the email client.

    • Does forwarding the email cause any loss formatting-wise? - You would need to send the email on to be able to send from another email address.
    • Does the news template post automatically show up in the news webparts or do you have to plan to filter it out?
    • Can you copy the news template post from site contents to other collections or even just duplicate it to save recreation?
    • Can you add existing posts to the email newsletter? - So you can create say a weekly digest?
    • Do we really need this? 

       

    • Important: Can you remove the posters' identity?

    This will be a great addition. Excited to learn more and see it in action.

     

    Curious if the results have been user acceptance tested on how the email shows up in Outlook on both Mac and PC and personal devices as well. Any near-term results to share yet?

    Indeed, a great part of the users are creating new news post from the news web part using +Add News post, but no longer have a chance to choose the organization's customized templates

    There is no Saved on this site tab to choose the custom templates from causing concerns to the users


    Could this be improved?

    Really excited to see this new feature. I have a question, Why the "saved on this site" tab that has all custom page templates is not present when we click new page?
    It's present when we click news post but it's not when we click new page!
    One more observation is, If we click news post from the news webpart add button, then the "saved on this site" tab is not present. it's really confusing the end user.

    • what happens when a site has a page approval Power Automate workflow applied?  
    • will an organisation's requirement to have classification labels (such as those set up in Purview) added to email impact mail out of page

    Question

    - any plan to add alternative reply to address to the email?

    - any plan to add send from address, so news go from the group/unit email instead of individuals?

    - any plan to add prevent forward to prevent information leakage?

    - any chance we get a proper print button for pages?

  • Looks great. A few questions if I may please:

    1. Can you send the email to distribution/mail-enabled security groups?
    2. What is the UX when the user doesn't have rights to send to those groups?
    3. Do you plan to offer the option to include Bcc (preventing the reply all with recepients)?
    4. Do you plan to offer the option to send from a shared mailbox that the user has access to?
