Advanced Project Planning with Microsoft Planner: Dependencies and Critical Path in Timeline View

One of the top challenges in team initiatives is determining when the work will be completed, ensuring it meets deadlines, and understanding which tasks to prioritize so the project finishes on time. This is particularly difficult with multiple interdependencies. The tools teams use for work management need to drive more momentum and efficiency, helping team members reach the desired outcomes faster. Microsoft Planner offers advanced features like Dependencies and Identification of Critical Path all supported in the Timeline view to address these pain points and enhance these processes, making managing projects more efficient and precise.
 

Advanced Task Dependencies

Microsoft Planner allows you to define complex task relationships, crucial for managing interconnected tasks efficiently. Here's an overview of the dependencies that are supported:
 
  • Finish-to-Start (FS): Task 3 starts after Task 2 finishes (default dependency).
Finish to Start

 

  • Finish-to-Finish (FF): Task 3 finishes when Task 2 finishes.
Finish to Finish

 

  • Start-to-Start (SS): Task 3 starts when Task 2 starts.
Start to Start

 

  • Start-to-Finish (SF): Task 3 finishes when Task 2 starts.

  • Lead and Lag Times: Lead time allows a task to start before its predecessor finishes, enabling overlap, while lag time introduces a delay between tasks.Steps to Set Up Dependencies:
  1. Create Tasks: Begin by listing all tasks within your plan.
  2. Link Tasks: On a task row, under the 'Depends on' or 'Dependents (after)' column, click on the cell to choose the task the current task is dependent on followed by type of dependency (FS, SS, FF, SF).
  3. Add Lead and Lag Times: You can also add lead and lag times through the same menu in days, hours, minutes, weeks or months.

Dependencies can also be added through keyboard shortcodes on the Grid, to do so add the following:
[Task Number][Dependency Type (FS/SF/FF/SS)] +/- [Lead/Lag numeral][Duration Format]
Example: 3FS+10d

Viewing Critical Path on Timeline

Understanding the critical path is essential for timely project completion. The critical path is the longest sequence of tasks that determines the project's finish date. Microsoft Planner’s scheduling engine automatically calculates this for you, ensuring you can easily identify and prioritize the tasks that will impact your project's timeline.
Example: Imagine you are organizing a conference:
  • Book Venue: 3/5 - 3/10
  • Write Invitation list: 3/5 - 3/15
  • Send Invitation: 3/10 - 3/20
If tasks have no dependencies, the critical path is the "Send invitation" task, as it ends at the latest and thus defines when the project will end. If there was a dependency "Write Invitation list" → "Send invitation," the critical path would be "Write Invitation list" and "Send Invitation," as their sequence defines the project's end date. 

Steps to View Critical Path in Microsoft Planner:

  1. Navigate to the Timeline view.
  2. Toggle on the critical path filter to highlight critical tasks in red.

    Is there anyway to put a lock on a date with dependent components in planner (premium)? Let’s say I have a very important deadline that cannot be pushed but since my collaborators are pushing the dependent tasks, the deadline also gets pushed. How can I approach this?

    In Grid view I only see "Assignment" and not "Depends on" column. How is that?
    EDIT: I don't have the Premium version, that's why... Perhaps you should make it clear at the beginning of your post.

    Where are Milestones?  In the features it says that Milestones are available but there is nowhere obvious where a task can be converted to a milestone.

     

    Now I see that I can achieve this by setting the duration to 0 days.  This isn't obvious, and a button would be helpful as an alternative way to create a milestone.

     

    Milestones are pretty important so make them easy!

    Seconded! while I can appreciate the pushback in date is probably for the best to avoid broken functionality, an idea of WHAT we're waiting for would be great.

     

    With the limited functionality in P4W/Planner premium compared to MS Project and project online (and the looming threat of Desktop + PO no longer being supported at some stage in favour of P4W) many businesses are looking to what alternatives are on offer, and it's hard to make a business case to with no information at the portfolio level.

    CourtBoda funny - I was thinking the same...  It has already been on the roadmap for ~9 months if I'm not mistaken.

     

    What a struggle to organize MS projects/plans for real world use.  Portfolio sounded promising, but now we're back to having to be creative to make up for slow delivery schedule from MS.

    I just noticed when reviewing the Roadmap link that Portfolio features for Planner Premium are not coming till March 2025, when previously was listed as Fall 2024. This is such a bummer. 

    Is there any chance that we can at least know what is coming and what features are being planned for Portfolio? This would help me understand if there is a need to program PowerBI in the meantime to accomplish what I'm looking for, nine months is a long time to wait, so I will likely have to set something up in the meantime. 

     

    Also any updates on @tagging? This is such a pertinent feature for collaborative work management. 

     

    If there is any chance for me to get on the list for Public Preview, I'm game! 🙂
