Create multiple staff appointments with Microsoft Bookings

As one of the most requested features for Microsoft Bookings, we are pleased to share that you can now create a multiple staff appointment! Previously, Bookings only supported the creation of a single staff service where an appointment is scheduled with a single staff member. 

With the new multiple staff appointments feature, you can create service with more than one staff member in a single appointment. Your end customers will now be able to create appointments using the multiple staff service and meet all staff members together.

 

How can you start using multi-staff appointments?

 

Now when you try to add a new service to your Bookings page, in the Assign staff to the service section, you will see two options:

  1. Single staff: When selected, the booking will be scheduled with a single staff member.
  2. Multiple staff: When selected, the booking will be scheduled with all the assigned staff members of the service. You can refer to this service as N:1 booking service.

You can read more about other controls available while defining a service here. It’s also important to note that in the case of Multiple staff service, your end customers will be able to book an appointment only when all the staff members of the service are available to attend.

You can use this feature for multiple use-cases. Here are a few examples:

 

1. Book panel interviews

 

An education institute can allow students to book interview sessions with multiple interviewers. Till now, appointments needed to be booked with the lead interviewer who had to manually add other panel members into the call. This not only added overhead to the lead interviewer, but also created problems of availability, since all the interviewers might not be available at the booked time. Now, with this new feature, you can create a multi-staff service and all the interviewers on the panel can be added to it. Students will be able to book an interview session only when all the interviewers are available together.

 

2. Book Privacy webinars

 

An enterprise can provide privacy webinars to multiple customers where both the privacy expert and legal expert are needed. With this feature, you can create a service with both the staff members and set the number of attendees as, say, 10. Now, up to 10 users can book the same privacy webinar slot now where both experts will be available to answer their queries. This feature is called a N:N service – a service between multiple staff and multiple attendees.

    Thank you SankalpJ , multi-staff appointments is a much appreciated feature to us, we started using it from day 1 🙂

     

    If you are welcoming feature suggestions for a future version: one of our use cases also involves setting up consultancy meetings with "conditions":

    - The proposed time slots must guarantee that at least 2 staff members from the assigned staff group (6 people) can attend,

    - The proposed time slots must guarantee that at least person X or Y can attend (this option would be only enabled when the previous one is configured).

     

    I fully understand these could be quite complex to implement but just in case it is possible, that would be the "dream feature" for us!

    When will we have the ability to add more than one email address for a client appointment? I'm in financial services. It's common for more than one member of a household to be part of a meeting. Currently, only one email address can be used, so only one member of the household receives the calendar invitation and reminder emails. I then have to go into my Outlook calendar and create a manual entry to include the spouse. Defeats the purpose of having an automated system. Every other system that competes with Bookings allows for multiple people to receive the calendar invite (Acuity, Calendly, Schedulista, etc). If bookings already does this, that must mean our administrators have blocked this ability which is another issue 🙂

    This is perfect for what I need for allowing customers to schedule a steering review with myself and our CEO, but I haven't been able to get him to populate in the "Select Staff" field. We both setup Bookings accounts, so I don't know if there is an additional step required to get other accounts to be visible?

     

    ...which I found 5 minutes after posting this - you have to manually add Staff members under the Staff menu option first. Problem solved!

  • This is a nice feature.

    I'd like a version of this where a customer can book a time with all members of a group where at least 1 person has availability. While this might result in double booking for some members of the group, that would be OK, because they might have the option to reschedule. And if they don't, they'd know that at least another person on the team would be present on the call, which could be recorded for future reference.

    One feature we really need is for our training department to be able to offer multiple sessions for a class.  

    Lets say i want to do Teams training for the org and offer it at 8:00 AM on Tuesday at Office 1, noon on Tuesday at Office 1, and 8AM on Wednesday at Office 2.  

    I wish you could just select those settings vs trying to play with the length of training and when its available (which appears buggy at the moment as i cant even force the above when using those two settings to create a selectable option).  The option should be to create an available event at x time on y date.  

  • Will there be a multiple staff feature that will allow the customer to select certain staff members (ex. 2 out of the six possible staff members) when they're booking an appointment?
