Automate Your Workflows with Scheduled Prompts in Microsoft 365 Copilot Chat

A convenient new feature in Microsoft 365 Copilot Chat now enables you to create a prompt once, save it, and then schedule it to run automatically at a time and frequency you choose. This enhancement allows you to automate repeated tasks, ensuring you stay organized and efficient without the need to manually trigger prompts each time.

How to Access Copilot Chat on the Web

To use this feature, you’ll first need to open Microsoft 365 Copilot Chat:

  1. Sign in to Microsoft 365: Navigate to https://copilot.microsoft.com and log in with your Microsoft account.
  2. Open Copilot Chat: From the Microsoft 365 homepage, select Copilot from the sidebar or search for it in the app launcher.
  3. Create Your Prompt: In the chat window, enter your desired prompt that you want to automate.

Scheduling a Copilot Chat Prompt

Once you have your prompt ready, you can schedule it to run at a set time:

  • Set It and Forget It: Write a Copilot Chat prompt once, save it, and schedule it to run automatically.
  • Flexible Scheduling: Choose to run your prompt daily, on specific days, or at a regular cadence such as every Monday.
  • Efficiency Boost: No need to keep recreating prompts or remembering to trigger them manually.

 

Example Scheduled Prompts

Here are some practical examples of prompts you might schedule:

  • Summarize emails: "Summarize emails I’ve received over the past week and prioritize them based on urgency."
  • Meeting Recaps: "Recap my Teams meetings from last week, summarizing key takeaways and action items."
  • Leadership Prep: "Help me get ready for my next leadership team meeting by summarizing recent conversations with them."

Managing Your Scheduled Prompts

To review or modify your scheduled prompts:

  1. Click on the ellipses (…) in the upper-right corner of the Copilot Chat window.
  2. Select Scheduled Prompts to view your saved automations.
  3. Adjust the time or frequency of any scheduled prompt as needed.
  4. All scheduled prompts also appear in your list of Recent Chats for easy access.

    TaylorTech Last year, I saw in all the documentation that a standard Microsoft Power Automate license is required to use Scheduled Prompts. This requirement is no longer stated in the current documentation. Correct? Does this mean that it will work with my Power Automate Free license?
