Retention is the new Preservation

Copper Contributor

Microsoft have made some changes to the Security and Compliance center in Office 365. Preservation policies no longer exist and Retention policies have replaced them. All previous Preservation policies have been converted to Retention policies. The new Retention policies resolve a number of issues present in the old Preservation policies as per below.

  • There is no limit to the number of mailboxes or sites the policy can include.
  • For Exchange, any new mailbox created after the policy is applied will automatically inherit the policy.
  • Policy can be applied to All Exchange mailboxes, Office 365 Groups, SharePoint Online, OneDrive for Business, Skype for Business Online and Public Folders.

Microsoft now advise to use Retention policies in place of the below mechanism’s in other Office 365 services, as a Retention policy is the only feature that can both retain and delete content across Office 365.

**Note: The below services will currently continue to work side by side with Retention policies

Exchange Online

  • Holds created for eDiscovery in the Security & Compliance Center (eDiscovery hold)

  • In-Place Hold and Litigation Hold (eDiscovery hold)

  • Retention tags and retention policies, also known as messaging records management (MRM) (Deletion only)

SharePoint Online and OneDrive for Business

  • Holds created for eDiscovery in the Security & Compliance Center (eDiscovery hold)

  • Holds created in the eDiscovery Center (eDiscovery hold)

  • Document deletion policies (Deletion only)

  • In place records management (Retention)
