Microsoft Forms Brings Polls to Teams Meetings

Microsoft

This morning, Microsoft Teams announced new apps to make your meetings more productive and engaging. As a key component of this story, Microsoft Forms is excited to support you in customizing and improving the Teams meeting experience to suit your team’s needs.

As we had announced at Ignite, Forms’ integration with Teams brings the power of polls to your meetings. We are delighted to inform you that we are rolling out Polls in Teams Meetings.

These polls leverage the infrastructure and capabilities of the Forms product to enhance your virtual meeting experiences. Whether you are running a large-scale training session, leading your monthly all hands, or teaching in a remote classroom , Polls in Teams meetings enables meeting presenters to get real time feedback and turn attendees into active participants.

Prepare for an Engaged Meeting

As the meeting presenter or organizer, you can prepare polls in advance. Simply go to your Teams meeting chat or Teams meeting details view and add (+ button) the Forms app as a tab to start creating polls. This tab will be automatically named “Polls.”

Prepare Poll.gif

When creating these polls , you might notice Forms’ intelligence kicking in. As of today, we support answer suggestions based on text of the poll question. Soon, we will bring the same intelligent features within Forms’ surveys to Polls in Teams Meetings, so that poll creation is as frictionless as possible.

Unless you are designated as the meeting presenter or meeting organizer, you will not be able to add the Forms app as a tab and cannot create and manage polls. Thus, presenters are given control of their meeting experience, as attendees are only able to respond to polls.

Manage a Seamless and Interactive In-Meeting Experience

During the meeting, the presenter or organizer can launch a poll without leaving the meeting window by first clicking the Forms icon at the top of your Teams window. All your prepared polls appear on the right pane, from which you can choose which poll to “launch.”

Launch Polls During the Teams MeetingLaunch Polls During the Teams Meeting

If you have new questions to ask as your meeting progresses, you can quickly head back to the original “Polls” tab, then create and launch your poll. When you want to stop collecting responses, you can close the poll.

Attendees will receive a pop-up bubble with the poll question. They can respond via this bubble or via the chat pane if they have it open. If the presenter has enabled non-anonymous poll results, attendees can view these results in the chat pane in real time.

Evaluate and Take Action After the Meeting

After the meeting, you can evaluate poll results in the “Polls” tab directly. You can even export them into an Excel workbook to run any analysis or share with colleagues, or view them on the web in the Forms app.

Trusted Security and Compliance

As Polls in Teams Meetings shares the infrastructure of Forms, it meets the same important compliance and privacy standards that Forms meets. Data collected from polls are encrypted and stored on servers in the U.S. or Europe (Europe if you are a European-based tenant).

Get Started

If your organization has a Microsoft 365 Enterprise, Business, Education, or Firstline Workers F3 plan, or an Office 365 Enterprise plan, you can soon, if not already, use polls in your Teams meetings on desktop and the web.

For more details on how to add polls in Teams Meeting and on other questions you might have, please visit our support page. If you have additional questions or feedback on Forms’ surveys, quizzes, or polls, please visit our Forms UserVoice site.*

*Note: Microsoft will be moving away from UserVoice feedback sites on a product-by-product basis throughout the 2021 calendar year. Read more about this change here. To send your feedback for Microsoft Forms, please go to the upper right corner of your form design page and select the three dots ... > Feedback.

Will it work for channel meetings as well? Now I can add quick poll to a normal meeting but for a channel meeting it just adds usual Forms tab. Also there's no option to add it using the meeting options page.

Microsoft

@Deleted we are working on making it available for channel meetings soon. For a regular scheduled meeting, you should be able to add it from the "meeting options" page.

Copper Contributor

Is this rolled out to all tenants now? I'm not able to see it in Teams yet - but I'm wondering if it is because Microsoft Forms is disabled.

@Provsten I believe you need to have Forms enabled for that. It's anyway a form, just a simplified one.

Copper Contributor

How about Teams Live event? Is the poll feature working as well?

@Sophie2120 The audience of Live Event doesn't see the chat, so there's simply no place where the poll could appear. A workaround would be to make a separate form, and to share the link via Q&A announcement.

Steel Contributor

@Melinda_Hu Thank you for this improvement. I notice that the created poll then lives as a form in the creator's My Forms folder in the Forms app. Do you plan to allow meeting presenters/organizers to add previously created forms from their Forms application in the future, including shared forms, instead of needing to create new polls every time? This would be really helpful for our trainers, who wish to share forms amongst themselves and use the same forms for repeating classes. If so, any timeline on those capabilities?

Copper Contributor

As of December 6, this is not available as the video shows and how the article (instructions) are written.

1. Do our admins need to do anything to allow this? I already updated my Teams app.

2. Is it not 100% available yet?

Thank you.

@shpdsnyder do you have Forms enabled?

Copper Contributor

I can create forms in Teams channels, but not inside meetings. The "+" sign in the meeting detail view is simply not there. I tried with both channel and regular meetings. Probably it is not yet available for all tenants.

Microsoft

@GianlucaAmato @shpdsnyder Hi, it should be 100% available. If there's a reason you aren't seeing it, it might be something on your admin's enablement of Forms or perhaps updating Teams.

Also thanks for your help with answering some Forms' users questions! @Deleted

Microsoft

@m36five Yes, we plan to work on intelligent suggestions to reuse polls. No clear timeline just yet. Thanks

Steel Contributor

Nice start, but the execution of apps into Teams is so underwhelming for the less technical.  Why do I need to add forms into a meeting, from an odd screen that most users will never use?

There should be a + , or Add apps right in the meeting window to add those experiences in time of need.  The execution of the form for surveys is great, the onboarding is absolutely awful!

Copper Contributor

@Melinda_Hu Thank you for your help on this thread! We are not sure how to proceed - how do we enable Forms for Teams? Could you please post a link to the instructions? Thanks!

Copper Contributor

@Melinda_Hu  Will this work as well in meetings including external users ? I've noticed the previous Forms functionality available in the chat of a meeting only works when all participant are internal users and not from outside the organization, which was sometimes an issue. It would be great to have it accessible for all types of participant. Thanks!

Copper Contributor

My Teams freezes/locks up when I, as a meeting organizer or presenter try to edit a poll question I created. Why? My IT department is baffled and so far has removed then reinstalled Teams, updated all my drivers and updated my Bios yet without success. What do you suggest.

Microsoft

@Elyne_Gilles We are working on having this feature work for external users in the future.

Copper Contributor

Hi,
for the quiz form, can the form linked with the certificate if the they passed the quiz?

Copper Contributor

In Microsoft Forms I get (create competition) instead of (create form)!!

Does anybody know what is the problem ?

Copper Contributor

I get this error when trying to make a form in the chat:
"correlationId":"92bf1062-94bb-4708-b492-ee1fe73bcd7c","headers":[],"statusCode":500,"statusText":"","innerMessage":"Not a valid

Copper Contributor

The new poll in meeting is no longer available. Does anyone know how to solve?

Copper Contributor

I have a few questions:

1. I notice we can add up to 6 options when creating a poll - is there any way to add more?

2. Is there a way to add a 'free-text' option for the polling responses? (so the participant can make a comment instead of checking a box)

3. Are there different formats of polls we can create for a meeting? (for example; quizzes, short response, etc.)

These may all be on the roadmap, or housed somewhere else, but I was curious. Thank you!

Microsoft

Free-text option would be a great add-on.  Any idea when this would be available?

Copper Contributor

@Prof_Felipe : This feature was available and disappeared one week ago in our tenant too. Our admin said, that he didn't change anything.

@Melinda_Hu The + disappeared so you can no longer add the forms app to a meeting!?

What happended?

Copper Contributor

@Sehrs Exactly the same issue for us. No "+" when editing a meeting so can't use Forms in a Teams Meeting.

I have an open request with MS support so we'll see what happens

UPDATE - apparently the "+" only appears as an option when editing the scheduled meeting if you haven't included a Teams Channel (so you can't schedule a meeting from within the Team). If you schedule a meeting and just invite individuals or groups and leave the channel option empty you get the "+" icon when you edit the meeting in your calendar.

Bronze Contributor

@Melinda_Hu any insights into when polling can be added to channel meetings would be much appreciated! :folded_hands:

Microsoft

@Noah Sparks , we are working on this! hopefully soon :)

Microsoft

@AmandaMartin1 @moussaleen Yes, we've thought about all the suggestions you mentioned. Amanda, I'm not sure yet about the >6 options, but the others you mentioned are in the works.

Bronze Contributor

Many thanks, Melinda! The Forms team is amazing. Thanks for continuing to deliver value to customers.

@Melinda_Hu Is it possible to follow the status of the new features somewhere? I mean different types of polls mentioned above, first of all. Unfortunately no indication of them in the roadmap.

I'm asking because now we are looking at 3rd party options to make online polls - maybe we could just wait if existing solution is going to be extended soon?

Copper Contributor

Hey @Melinda_Hu ,

Thanks for all the replies in this thread!

I tried to make a poll in a classroom meeting, by going to the general channel, an post the question with answer opportunities after pushing the answer button. The Forms bot works great and post the poll, but it post it outside the meeting chat, in a new conversation, so the poll doesn't show up in the chat (only my "@forms "question" "answer", "answer"). So my students have to tap out of the meeting and navigate to the Teams-channel to take the poll.

It's SOO close to work as I need it to, so are there an atm for the last bit?

Thanks in advance

Sune

Have been using Teams for a while (edu) and I wanted to test polling during meeting but it is not possible in my case. As previous users commented the "+" sign in the meeting detail view does not show. I have meeting scheduled on channels. No chance for me to see option you describe.

Copper Contributor

Hi,

It seems that the functionality is still not there in meetings that you set up in a 'Team' or associated to a channel. Meetings just scheduled with no channel associated, the + is there no problem and it works as the instructions above. However, from an educational perspective, when we have different 'TEAMS' for different classes and different lessons associated to different channels depending on content, to not have that functionality in the channel meetings is limiting the experience we can provide to our students. I note that @Melinda_Hu  noted on 23rd November that they were working on providing this:

DrLambert_0-1612362287714.png

Do you have any update as to when this will be available please?

Thanks!

Copper Contributor
The meeting polls UserVoice is marked "Completed" and they have a user feedback survey. I haven't completed it yet, but maybe there's a place to indicate frustration with it not being available in channel meetings.

Copper Contributor

I have answered the survey, and there is a option to give in feed back in general.

Copper Contributor

Hi, thanks both. I did complete the survey earlier as well and have commented as suggested above.

Government users need this, too - Please bring Quick Polls to Teams channels and Teams meetings for GCC users!

Microsoft

@Sean_Crago it is coming soon! we are working on it right now. Please check the Microsoft 365 roadmap in the near future to find the status.

Copper Contributor

@Melinda_Hu The only item relating to Forms Polls currently is the item from November. Are you referencing bringing Polls to normal meetings in GCC? To Polls in Teams Channels? Or both?

Copper Contributor

@Melinda_Hu Hi there, I am a teacher in a school and we have an A1 Faculty licence.  I want to do polls in Forms in my live classes with students but the + button is not available when I click into the scheduled meeting to add the forms tab.  I can create a form in a Team channel but would like to be able to have the feature of activating the form during the meeting so the students do it there and then and not in advance.  Is this because of the A1 licence, is there something else I can do or is there a setting Admin have to turn on and if so what?  Thanks

Copper Contributor

Hi there, please, i need some help because here in Brazil i can´t copy my forms anymore. What´s happened?
Without copy.jpg

Copper Contributor

It´s ok. I find what i need do to.
But I dream for the day that I can import questions from the forms A to B.

Copper Contributor

Hi,

Can I prepare a poll for a Live Event in teams. Pls advise or provide link.

Deleted
Not applicable

@GeorginaGeorge there's no embedded tool, if you mean that. But you can always make your poll in Forms, and share a link via Live Events announcement.

Copper Contributor

@Deleted  Thanks. Yes I did mean a tool. I am hoping to have some prepared polls for the Live Event and then maybe ask questions during it to. I guess I'll have to provide a link.

Copper Contributor

It would be more than helpful if we have the option to create live polls in channel meetings in order to use them in school practice. We are looking forward the new updates in March and April 2021. @Melinda_Hu

Copper Contributor

I was previously able to follow the above video (and below step-by-step guide) to create DRAFT polls in advance, and launch during the Team meeting. This morning, however, Polls are launching upon SAVE. There is no draft option. Poll is live and public via the Teams chat to all participants. The above video tutorial, and below guide beginning with Step #9 is no longer accurate based on this update. https://support.microsoft.com/en-us/office/poll-attendees-during-a-teams-meeting-9923b7d4-ea97-4aa2-...

Anybody else experiencing this issue? If I can't create polls in advance, I can't use this feature; since building polls while live presenting isn't an option for me.

Steel Contributor

Still missing the ability to create a poll right in the meeting window.  We've had EXTREMELY limited success in showing people how to add forms to meetings today as they find it cumbersome, and inefficient.  Instead, they have reverted back to polling in chat.  (Comically even Microsoft hosted meetings have done this, in their words, its unusable.)

Very unfortunate, and half baked solution.  I was looking forward to this filling a gap!

Copper Contributor

Does this work with people logging in from external organisations that don't have MS teams installed?
