Yes. For people in your organization, Outlook’s contact card can display phone numbers from the organization’s directory. You do not need to create a personal Outlook contact for each user.
If you synchronize on-premises Active Directory with Microsoft 365:
- Open Active Directory Users and Computers and edit the user.
- Set the office number in General > Telephone number (telephoneNumber) and the mobile number in Telephones > Mobile (mobile).
- Let your configured Microsoft Entra Connect Sync or Cloud Sync process synchronize the changes. Check that these attributes are included in its scope and mappings.
- Verify the updated numbers in the user’s Microsoft Entra profile, then check their contact card in Outlook on the web. Outlook desktop may take longer to reflect changes because of cached directory information.
For synchronized users, make these changes in the authoritative on-premises directory; editing the cloud copy may be blocked or overwritten. For cloud-only users, update their contact information in the Microsoft 365 or Entra admin center instead. An entirely on-premises Exchange environment uses its own AD directory and address-book update process.
Also, the mobile number used for MFA authentication is separate from the directory’s contact mobile number. Updating one does not automatically update the other.
Test with one user first, and make sure Outlook resolves the address to the organization’s directory entry rather than an old personal contact. Contact-card layout varies by Outlook version, so users may need to open the expanded card to see both numbers.
