How to type on a PDF?

Hi everyone,

I need to type directly on a PDF, but the document does not contain fillable form fields. I can open it in Microsoft Edge, but I’m not sure whether there is a reliable way to add text anywhere on the page and save the changes without affecting the original layout.

Is there a built-in or free way to do this, especially if I need to change the font size and move the text into the correct position? I’d prefer not to convert the PDF to Word first, as that may change the formatting.

Any suggestions would be appreciated.

    You can type on a PDF in two different situations:

    • A fillable PDF form contains interactive fields. Click a field and type directly into it.
    • A non-fillable form or ordinary PDF has no interactive fields. To fill a form that is unfillable, use an Add Text tool to place text boxes over the blank areas.

    Adding a text box works even when the PDF is a scan because the new text is placed over the page image. If you want to change text that already exists in the PDF rather than add new text over the page, use the Edit tool in a dedicated PDF editor, such as PDFgear or Adobe Acrobat Pro.

    • Built-in methods

    Fill in or type on a PDF with Microsoft Edge

    Microsoft Edge is built into Windows 10/11. It provides a simple way to complete interactive forms or add text to PDF pages.

    1. Right-click the PDF and select Open with > Microsoft Edge.
    2. Select Add text from the toolbar.
    3. Click the required position and type.
    4. Adjust the text size or color if those options are available.
    5. Select Save as and create a separate copy.

    Edge is suitable for basic forms and short text entries. The Add text option may be unavailable when the PDF has security restrictions or uses an unsupported structure.

    Type on a PDF with Preview on Mac

    Preview is included with macOS and can fill supported form fields or add a text box to any visible part of a PDF page.

    1. Open the PDF in Preview.
    2. Click an interactive field, or select Show Markup Toolbar.
    3. Click the Text tool and enter the text.
    4. Drag the text box into position and adjust its formatting.
    5. Select File > Export as PDF to save a copy.

    The text box is placed over the original PDF page. Check that it does not cover borders, instructions, or nearby form fields.

    • Online tools

    Type on a PDF online with PDFgear

    If you need to type on a PDF online, PDFgear Online provides a free browser-based option for filling non-fillable forms or adding text to ordinary PDFs without installing software or signing in.

    1. Open PDFgear's online PDF form filler: https://www.pdfgear.com/pdf-form-filler/.
    2. Click Select PDF File and choose the document.
    3. Select Free Text from the toolbar and click the required position.
    4. Enter the text and adjust its size, color, and other formatting as needed.
    5. Click Download to save the completed PDF.

    PDFgear Online works through a browser on Windows, Mac, iPhone, iPad, and Android. It is useful when you need to type on a PDF without downloading an application.

    Add text with Adobe Acrobat Online

    Adobe Acrobat Online can fill supported form fields and add text boxes to PDFs through a browser. The document is uploaded to Adobe's online service, and you may be asked to sign in.

    1. Open Adobe Acrobat's online PDF filling tool.
    2. Select and upload the PDF.
    3. Choose Add text.
    4. Enter and position the text.
    5. Download the completed document.

    Some Acrobat Online features may require an Adobe account or paid plan. For contracts, IDs, financial records, or other confidential PDFs, consider using a local application instead.

    • Desktop applications

    Type anywhere on a PDF for free with PDFgear

    If you are wondering how to type on a PDF document for free, PDFgear provides a free desktop option for Windows and Mac without requiring an account or sign-in. It can complete fillable forms and place text boxes on non-fillable forms or other PDF pages.

    1. Open the PDF in PDFgear.
    2. Select Form>Add Text from the toolbar.
    3. Click where the text should appear.
    4. Type and adjust the font, size, color, or position.
    5. Save the completed PDF under a new name.

    All features in the PDFgear desktop app run locally and can be used offline, so PDF files do not need to be uploaded to a server. This makes the desktop application more appropriate for confidential documents.

    Fill in a PDF with Adobe Acrobat Reader

    The free Adobe Acrobat Reader application can type in interactive fields and use Fill & Sign to place text on a non-fillable form. An Acrobat Pro subscription is not required for this basic task.

    1. Open the PDF in Adobe Acrobat Reader.
    2. Select All tools > Fill & Sign.
    3. Click a form field or choose the Add Text tool.
    4. Type and position the text.
    5. Save the completed PDF as a separate copy.

    If you can click a field and see a cursor, the PDF is fillable and you can type directly. If clicking does nothing, use Add Text to place a text box over the blank area.
