Assign Tasks to Anyone

When Project for the web first launched, one of our top priorities was to make it simple to share a project. One way we did this was to make it easy to share your Project to a Microsoft 365 group when you first assigned a user to a task. We didn’t realize at the time was the lack of flexibility we’d be giving our customers by requiring you to share your project to a Microsoft 365 group when you assigned a user to a task. We heard about this causing pain to customers in multiple ways.

The new flexibility in Project for the web allows you to assign tasks to people who are outside of your Microsoft 365 group. Some scenarios this will enable are:

  • Projects can change frequently in the early planning stages. When assignments are still heavily in flux, it can be randomizing to share a project with everyone who is assigned a task at any given moment. Now, you can keep planning productively without sending unwanted signals to your team.
  • Some projects are confidential and not everyone assigned work should be able to see the project plan. Now, you can continue to track all assignment details in one, organized place without compromising compliance.
  • Some organizations have strict governance over Microsoft 365 group membership that makes it difficult to work or plan across group boundaries. Now, you can work across groups as your project demands.

How it works 

When you have a new project, you can start by typing any user’s name into the “Assigned to” field: 

 

 

When you select your first user, you’ll now have the option to decide whether to share the project with them.  

 

 

If you’d still like to share, select “Add to group” and you’ll go through the process of sharing your new project with a new or existing M365 group. However, if you select “Just assign,” the task will get assigned without your Project getting shared. 

After you share your project to a group, you can decide whether to add someone to the group the first time you assign a task to them. 

 

 

You can always add the assignee to the group later on if and when you’re ready to share the project with them:  

 

 

We make it easy to track the list of users who are assigned tasks but who aren’t in the group by giving you a list of “Other people” in the group members callout.  

 

 

 

This will give you the flexibility you need to keep using the features you love in Project.   • Can you please give an updated version of this article? We're trying to figure out how to have a project associated with an O365 group to include someone else inside the corporation not in that group (and nor do we want them in that group) to gain access to all related content of a particular project without getting access to the rest of the group's content.

  • What I've found so far, but don't have the privilege to see if it's all accurate or not (can't provide links because this interface doesn't allow it, also had to remove bullets):

    Make sure your admin goes to Microsoft 365 Groups settings and turns on guest access to group content. This will ensure that guests can access projects shared with them in the group, and that they can be added to your Microsoft 365 Groups through Project. You'll be able to search for them in the Group Members dialog, and when you assign a task.

     

    Project builds on the Microsoft 365 Groups guest access feature.

    A project owner can add a guest who is part of the organization to the project group by selecting Group Members at the top of their project and searching for the person's name. Another way is to select a task, selecting the assign icon, and then searching for them. 

     

     It will only work if a Group Administrator turns on the access setting Let guest group members access group content.

     

    Note that for projects in custom environments, guest users with Microsoft 365 licenses or no licenses can view but not edit projects. Guest users with Microsoft 365 E3 and E5 licenses can update the completion percentage of tasks assigned to them.

     

    ...Can a guest edit project content? 

    Yes. Any guest can edit the content of any project that is shared with them. 

    Can I keep track of guest assignments WITHOUT giving them access to the project?

    Yes, you can use the “Just assign” option after assigning a task to a guest to simply keep track of the task assignment without sharing sensitive information with the guest. 

    Can a guest access the groups documents and SharePoint sites attached to project tasks?

    Yes, if the organization has enabled the appropriate settings for guest collaboration in SharePoint. 

    Can a guest access the project through Teams?

    Yes, a guest can view your project in Teams if the project is pinned to your team’s channel.

    Still too strict IMO please allow assigning people outside the organisation, we work with a lot of contractors. They don't have to see the dashboard, just allow a mailout for schedules updates.

    This feature will not work for end users using Microsoft Dynamics 365 Project Operations.  Hope it can be changed in the future
